Minimum Qualifications

five years related experience or equivalent combination of training and experience.
Master's preferred.
Ability to use SQL to manipulate data bases is desired.
Position Summary
This position is responsible for supervising and coordinating the administrative functions of an organizational unit. Work includes coordination, organization and implementation of all functions in a variety of areas including: fiscal, logistical, planning, business and human resources. In addition to management, this is a hands-on position and will require a working knowledge of all departmental responsibilities, to include: Data Management and reporting, AutoCAD and BIM management , ArcGIS mapping, and construction document processing and organization. This is a supervisory and hands-on working position of the Facilities Inventory Section of the FMD Engineering Department.
This position oversees the work in the reporting, updating, and maintenance of building and room space, facilities inventory database, floor plans, BIM building models, GIS utility updates and web maps, and the archive of UGA building construction and renovation documents for all university buildings. An employee allocated to this class of work is responsible for overseeing the maintenance of a computerized perpetual inventory of all physical space and the preparation of periodic inventory reports. This position supervises 2 Data Specialists, 1 CAD/Revit Specialists, 1 GIS Coordinator, and 1 BIM Coordinator (future planned position) and a staff of 4 temporary student interns. Work is performed under general supervision of the FMD Engineering Director.
Knowledge, Skills, Abilities and/or Competencies

  • Working Knowledge and skill in the coordination, facilitation and reporting of a large campus wide facility information.
  • Knowledge and experience in the supervision of employees and strategic planning.
  • Experience and skill in the use of AutoCAD for building floor plan creation, updating, and connection to facilities database
  • Experience and skill in the use of ArcGIS for documenting campus-wide utilities.
  • Strong decision making and excellent problem-solving skills, and ability to work under pressure.
  • Ability to maintain plans room inventory databases, which include design and close-out documents for campus facilities.
  • Ability to work with and coordinate work with internal and external customers utilizing a web base ticket system.
  • Understanding of construction documents and specifications with the capability to navigate information searches.
  • Working knowledge of BIM (Building Information Modeling) and the principles of Information modeling, digital twins, and management of models.
  • Strong experience with Microsoft Office suite to include excel, word, power-point, etc.
  • Dependable with an excellent work ethic
  • Attention to detail, good organizational skills, and the ability to prioritize
  • Excellent verbal and written communication and customer service skills
  • Ability to work independently with little supervision
  • Ability to follow through with assigned duties with efficiency and creativity

  • Direct, organize, facilitate, monitor, review, and supervise the data collection, maintenance and reporting to BOR and USG of UGA Building information, including the BLLIP, SACS, FIDC, ADC, Square Footage Reports and Program Review reports
  • Coordinate customer requests related to building information and updating changes
  • Work with UGA and FMD departments to maintain and facilitate internal cooperation to assure the most up to date reporting of building related information

  • Troubleshoot problems with the AiMCAD linking process
  • Coordinate training for system upgrades and creation of instructions for the process
  • Creation of graphic reports on room department assignment, occupancy, and use
  • Directing BIM coordinator and facilitating the BIM implementation

  • Direct and review the maintenance of the FI digital plans room in order to preserve accurate and timely records of UGA building construction history and to supply user friendly access to existing information and construction documents
  • Review of document submittals and the set up and closure of all project reviews in Bluebeam

  • Oversee and facilitate changes for the UGA Utility data using ArcGIS, includes working with ArcGIS to create 811 utility locate request maps
  • Quarterly updates of PDF mapbooks and utility maps
  • Work with ACC, UGA Environmental Safety (ESD) and the Office of Security and Emergency Preparedness (OSEP) personnel in the updating of critical information needed for Emergency Response on campus
  • Coordinating 911 address assignments with ACC, and supervise the UGA utility updating completed by the GIS Coordinator

    personnel training in order to maintain a current knowledge base for technological changes
    and an efficient departmental procedure
  • Maintain and approve employee time records in One Source
  • Review departmental policy and procedures for areas of possible improvement
  • Coordinate Facility Inventory web site maintenance and growth
  • Work with the BIM Coordinator (TBD) to develop the BIM plan for all of Engineering
  • Perform evaluations of subordinates, review and approve absences, and participate in hiring of new or replacement staff
  • Assist the Director of Engineering with planning and oversite of the Engineering budget
