The Department of Biology ( https://biology.ecu.edu) at ECU is one of 16 academic departments in the Thomas Harriot College of Arts and Sciences ( https://thcas.ecu.edu/). Both the department and the college seek to create an environment that fosters the recruitment and retention of our student body, faculty, staff, and administration and works to increase access to higher education by building a culture of care, belonging, and opportunity. Departmental personnel conduct work in four buildings on campus but the administrative home of the department is the new Life Sciences and Biotechnology Building.
The Department of Biology at ECU is heavily engaged in supporting ECU's teaching, research and service missions. The department is home to more than 1,300 undergraduate majors (BS and BA in Biology and BS in Biochemistry) and biology personnel instruct more than 17,000 students each academic year. Faculty in the department are committed to providing high-impact training in research to undergraduate, Masters ( https://biology.ecu.edu/graduate-studies/) and Doctoral-level ( https://idpbbc.ecu.edu/) students. Faculty are actively engaged in research. On an annual basis faculty generate approximately $2-3 million in new grant awards and expend approximately $1.5 million in direct research costs. The Department offers several core support services (e.g., Genomics Core Facility, Environmental Research Lab, Imaging Core facility and greenhouse) and is committed to both professional and public service and collaborates with several internal and external partners.
Job Duties
The Department of Biology is seeking to hire a lead administrative associate. This position reports directly to the Department Chair and serves as the supervisor of four administrative staff. Primary duties and their approximate effort allocation are budgeting and finances (30%), personnel administration (25%), assistant to the chair (30%) and supervision of administrative staff (15%). Examples of effort in budgeting and finances include managing and reconciling departmental budgets, providing requested financial reports to the chair and the college, coordinating all financial operations in the department, analyze and make recommendations regarding fund sources for purchases and services, work with our grants/travel specialist on any necessary reallocations of grant funds, and manage ProCard Chrome River Reports and submissions. Examples of effort in personnel administration include management of online timecards and processing all SHRA and EHRA personnel paperwork. Examples of effort associated with assistance to the chair include departmental correspondence, scheduling departmental activities, recording minutes of meetings, coordinating with administrators and faculty, and maintenance of chair's calendar. Examples of effort associated with supervision of administrative staff include managing the workflow through our departmental offices by coordinating efforts with other administrative staff and develops and maintains efficient filing system for tracking all office operations.
The departmental budgets are large and complex, requiring management of funds from the state, foundations, facilities and administration funds, special funds and external grants. The position requires an effective multi-tasker who is well organized. The individual in this position communicates with almost all administrative offices on campus as well as other academic departments and therefore requires the individual to have strong interpersonal skills and ability to communicate effectively in both writing and verbally.

High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

Preferred Experience, Skills, Training/Education
Experience with finance, personnel processes, and grant support. Experience with processes/systems common in higher education, or in a comparable setting (such as experience working in a large, diverse, fast-paced environment requiring independence, motivation, and strong judgment).
