Essential Job Duties
This position is responsible for managing the course schedule and registration processes for Poole College's undergraduate and graduate programs, and providing administrative support for various college programs including the undergraduate business analytics program. Additionally, the scheduling officer will manage course enrollment-related student communication as well as related college web pages. The successful candidate will have experience with university scheduling and registration systems and program management, be forward-looking, open to generating new ideas and innovations and possess the skill set necessary to support the College in forecasting and planning efforts related to course enrollment, space management, and registration. The scheduling officer will also attend relevant college and university meetings and will represent the college on various university-level committees.


  • Manage semester course calendar

    • Manage semester course calendar/schedule - set timeline and deadlines, create necessary documents, implement communication strategies regarding scheduling, etc.
    • Communicate with Department Heads and Area Coordinators concerning course needs and scheduling deadlines
    • Collaborate with the Assistant Dean of Jenkins Graduate Programs and Directors of Graduate Programs to meet the course scheduling and registration needs of Poole's graduate students
    • Enter, and proof fall/spring/summer schedule and course attributes for Poole undergraduate and graduate courses and make corrections and suggestions as needed
    • Work with University Scheduling Office to find classrooms and troubleshoot other scheduling issues
    • Manage graduate faculty status for instructors
    • Implement and communicate registration restrictions to ensure the correct students are able to enroll
    • Build and run queries as needed to determine scheduling and registration needs




  • Manage course registration processes

    • Provide assistance with registration issues for both undergraduate and graduate students
    • Communicate registration policies through Poole's generic registration email account and enrollment webpages
    • Register and track students in practicums, internship courses, independent studies, etc.
    • Assist with registration of special student groups such as Global programs and incoming first-year and transfer students
    • Manage the MBA Petition to Add process



  • Assist with the administration of academic programs
    • Manage the selection, enrollment, processing, and tracking of students in the undergraduate Business Analytics Honors Program; additional programs may be added to this responsibility as the college grows

  • Support undergraduate and graduate office-wide programming including orientation and commencement programs

The Scheduling Officer reports directly to the Associate Director of Curriculum and Academic Programs.

Qualifications


Minimum Experience/Education
Bachelor's degree; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.
Other Required Qualifications

  • Previous experience with student information, enrollment registration, and course management systems.
  • Attention to detail is a must.
  • Team oriented work style, but must also be able to work independently and take initiative.
  • Ability to multi-task and manage a variety of competing priorities and timelines.

  • Relevant work experience at a college or university.
