Overview
Reporting to the Director of Marketing & Communications, this role supports the college's vision by coordinating and executing strategic marketing initiatives across its departments. The position involves managing event and campaign tasks, ensuring smooth collaboration between the marketing and communications team, faculty, and campaign stakeholders.

The primary focus is on arts events, requiring a candidate who understands how to deliver exceptional guest experiences while identifying opportunities to enhance engagement.

This is a part-time position consisting of 29 or fewer hours a week. This position is eligible for hybrid work within the state of Utah.

Responsibilities
40% Project Coordination
  • Coordinate project management tasks with marketing and communications specialists to ensure timely execution and adherence to deadlines.
  • Assist the Director of Marketing and Communications with project coordination and implementation of marketing strategies.
  • Act as a liaison between the marketing team and Event Services (Box Office and Front of House) to ensure event assets (e.g., programs, displays, handouts, etc.) are delivered appropriately.
  • Collaborate with Front of House managers to enhance audience experiences, including QR code scanning, distributing promotional materials, and integrating perks or entertainment at events.
  • Manage and coordinate projects for conferences and other non-event campaigns.
  • Assist in planning and coordinating with Event Services for vending needs, including refreshments, decorations, and promotional activities.
  • Work with the Box Office to set up ticketing processes, create event links for online calendars and other platforms, and support related marketing campaigns.
  • Help develop and refine processes for asset delivery in collaboration with the Director.
  • Partner with the Director to enhance ticketing experiences for both the USU community and the general public.
  • Support improvements to the online event experience, including refining information access, ticket purchase processes, and event listings.
  • Execute tasks to support marketing campaigns tied to events, box office operations, or audience-related initiatives.
  • Assist in developing materials and strategies for collaborating with external partners.
  • Other duties as assigned.

30% Distribution Assessment and Execution
  • Lead the discovery and implementation of communication channels, including managing contacts, login credentials, accounts, and the submission of content.
  • Post content to online platforms such as the event calendar, social media, and other digital outlets.
  • Update and maintain web content for the Caine College of the Arts (CCA).
  • Assist in updating web content for individual departments within the college.
  • Coordinate with marketing, communications, and graphic design teams to update content and materials for advising, recruitment, or other supportive purposes.
  • Distribute content to TV monitors, digital platforms, and other designated locations to raise awareness.
  • Other duties as assigned.

20% Project Research & Planning
  • Analyze campaign outcomes using metrics such as trackable codes, attendance figures, and other performance indicators to evaluate success.
  • Prepare project result assessments, sharing outcomes with faculty and stakeholders. Provide recommendations for future efforts to event contacts and the marcom team.
  • Propose improvements to campaigns, marketing strategies, communication efforts, event experiences, and initiatives that support CCA goals and perception.
  • Other duties as assigned.

10% Overall Support
  • Edit communications content to ensure accurate use of arts terminology, cultural sensitivity, and effective storytelling.
  • Assist in reviewing content for accuracy and proper representation of the college and its departments.
  • Train student workers and team members on arts-related terminology, practices, and cultural norms as needed.
  • Provide support for executing marketing and communications tasks as required.
  • Contribute to general marketing efforts as directed by the Director of Marketing & Communications.
  • Other duties as assigned.


Qualifications
Minimum Qualifications:
  • Bachelor's Degree in either Project Management or the arts obtained, or on track to obtain within the first year of hire.
  • Demonstrated ability managing projects, including budget awareness, execution, and coordination.
  • Understanding of arts events, how they are conducted, and the expected experience from audiences.
  • Strong proven experience in with visual and/or performing arts events and its necessary elements of production
  • Experience working with students and/or student workers.
  • Experience coordinating with a marketing department for collaborative project initiatives.
  • Demonstrated ability to problem solve and discover new ways to enhance a program, project, or event management.
  • Demonstrated experience and great understanding of the arts, including a demonstrated respect for its atmosphere and audience.
  • Demonstrated experience working with faculty.
  • Basic understanding of written communications.
  • Basic understanding of social media and its impact on the arts audience.
  • Ability to find and correct errors in written communications and public information.
  • Understanding of AP style.
  • Thorough knowledge of working with Microsoft Word, Excel, and OneDrive.
  • Experience with project management systems like Asana.
  • Demonstrated ability to coordinate with partners or associates to execute or align on project tasks.

Preferred Qualifications:
  • Experience working within the arts for higher education.
  • Familiarity working with arts faculty.
  • Familiarity with ticketing services, understanding of Paciolan a plus.
  • Proven experience with project management including licensing, certificate, or degree in project management or a similar field.

  • Strong ability to organize records, files, and task assignments with due dates.

  • Ability to brainstorm and collaborate effectively with colleagues.
