Summary of Position

We are seeking a motivated Site Project Accounting Assistant to join our growing team in Hagerstown, MD. This position supports accounting and administrative functions within the Kinsley Site Division, helping ensure projects run smoothly and successfully. Key responsibilities include assisting with project invoicing and payments, tracking subcontract and purchase order compliance, managing accounts payable and receivable, preparing change orders, and supporting the team with contractual documents, surety, and insurance needs.

The ideal candidate will have relevant experience, strong computer skills, effective communication abilities, and a willingness to learn in a dynamic and fast-paced environment.

Typical Responsibilities / Essential Functions

  • Track subcontractor and material supplier compliance, including managing certified payroll reports for prevailing wage projects.
  • Scan and enter subcontractor invoices into Viewpoint.
  • Review and code material tickets and AP invoices for accuracy.
  • Process weekly subcontractor payments as they are received.
  • Prepare and manage owner and subcontractor change orders.
  • Work with project estimators to handle documents during the bid and award processes.
  • Review and request surety and insurance requirements for projects.
  • Prepare monthly project billings and work with Project Managers to manage billing changes and keep accounts receivable up to date.
  • Analyze project costs monthly with Project Managers to prepare for financial closing and generate job cost reports.
  • Support project accountants and management teams to ensure projects finish on time and within budget.
  • Perform other related duties as assigned.

Requirements

  • Prior accounting experience required; construction project accounting strongly preferred.
  • 2-4 year post-secondary degree preferred.
  • Proficiency in computer and software skills, including Microsoft Office required; Vista/Viewpoint preferred.
  • Excellent analytical, organizational, and project management skills.
  • Strong organizational, oral, and written communication skills.
  • Ability to work independently and effectively communicate with all personnel within the organization.
  • Team-oriented, flexible, and able to work in a fast-paced, dynamic environment.
