Job Location: Hershey, PA - West Hershey Plant Summary: Provides administrative support for the Plant Manager and his Staff. Schedule Salaried Review meetings and Hourly Roundtable meetings. Plant contact for plant tours, coordinating all aspects of the tour. Maintains numerous distribution lists, and assists with expense reports and product donations. In addition, the Administrative Assistant:
- Provide general administrative support to the Plant Manager and Business Unit teams.
- Assist the Plant Manager in summarizing the weekly report for the senior director of manufacturing.
- Develop an agenda for weekly staff meetings. Assists all plant staff managers with general admin support (Engineering, Safety, HR, and Quality).
- Coordinate bi-monthly hourly roundtable and quarterly salaried review meetings, including scheduling meetings/rooms and developing presentations.
- Assist with salaried employee onboarding.
- Schedule one-on-one meetings and tours with Plant Staff to orient new hires with processes and people.
- Coordinate activities/events for the West Hershey Plant, including a Children's Egg Scramble, a Visit with Santa, etc.
- Assist with plant recognition events, including an Employee Appreciation Celebration, salaried perfect attendance, a 40-year Appreciation, and a Retiree Holiday Dinner.
- Plant contact and coordinator for all plant tours. This includes sharing the Visitor's Compliance form and West Hershey Plant Tour Guidelines with guests, scheduling a room, tour guides, gift bags, smocks/PPE, preparing/programming headsets, etc.
- Responsible for maintaining the plant-wide communication and posting process.
- Maintain numerous distribution lists and SharePoint sites for Plant and Plant Staff.

Minimum Requirements and Education:
- Minimum 2 years of administrative experience in support roles involving supply chain operations in a professional environment, supporting a Leadership Team / Senior level Management required.
- Proficiency in the MS Office Suite is required.
- The administrative assistant works with confidential data and issues that could have detrimental effects if disclosed; therefore, the Assistant must be able to make confidentiality decisions, both limited and broader in nature, on their own initiative.
- Experience with SAP is preferred.
- Experience working in Manufacturing / Supply Chain is preferred.
