The preferred location for this position is Seneca, SC area but the manager will consider other locations within the Duke Energy footprint in North or South Carolina.

Summary:

We are seeking a proactive and detail-oriented Executive Assistant to support the Vice President of Regulated & Renewable Energy Carolinas. This role serves as a key point of contact for the VP, will manage all administrative duties, and provide broad support of critical and confidential activities that are diverse and involve close coordination with senior leaders and their support staffs. This position requires significant interface on a regular basis with high level leaders of other companies, as well as within the corporation. It is the responsibility of the Executive Assistant to proactively manage the time and support the work effectiveness of the VP by learning the VP's mode of operation and individual preferences to anticipate their needs. The Executive Assistant will coordinate, research, delegate, compile, and organize any work necessary to meet those needs. The individual may exercise considerable judgment and discretion in the performance of their duties.

Flexible work location at a generation facility or office complex within Duke Energy's NC/SC service territory. Specific location arrangements will be discussed during the hiring process.

Key Responsibilities:

  • Screens calls and responds to moderately complex inquiries from management employees or external sources regarding a variety of questions, such as clarification of company policy and procedures. Communicates sensitive information to senior management or external sources.

  • Coordinates with internal and external staff to accomplish moderately complex activities, such as scheduling, and developing agendas for meetings or events. This may also include conducting research and compiling information for quarterly or annual reports, departmental projects or company task forces, where information must be gathered and compiled from a variety of sources.

  • Receives general direction. Identifies needs and initiates administrative projects. Performs considerable coordination and follow-through. Sets priorities and procedures for accomplishing work and may delegate portions to others.

  • Manages the electronic mail of the Vice President in their absence. Reviews incoming mail makes decisions as to proper handling and prepares responses or delegates/manages responses by others.

  • Maintains confidential records and reports. Collects, compiles and analyzes data from several sources of information. May direct others to collect and calculate the data.

  • Provides support in preparation for the Vice President's meetings. May coordinate the preparation or compilation of various meeting materials. Interfaces with others in the business unit to plan and coordinate materials.

  • Provides administrative and organizational support to the Vice President in external business and community leadership responsibilities.

  • Utilizes Microsoft Office Products at a high level of proficiency. Prepares and revises documents for use by management.

  • Prepares expense reports and reconciliation statements. Reviews and approves, within delegated parameters, expense reports of others.

  • Coordinates travel arrangements and meeting preparations. Anticipates a variety of simple to complex needs and potential issues; ensures all needs are met and issues are proactively addressed.

  • Maintains a consistently high level of availability to provide support to the Vice President according to their schedule.

  • May require flexibility in work hours or locations.

  • Maintains and demonstrates current knowledge of Duke Energy enterprise organization and business operations.

  • Understands the work preferences and needs of the Vice President. Communicates effectively with other leaders and their support staffs.

  • Exercises excellent interpersonal skills and demonstrates the ability to work with employees at all levels within and outside the organization in a highly professional manner.

  • Effectively handles a wide variety of telephone calls, mail, visitors and appointments to effectively manage the time of the Vice President.

  • Prepares correspondence and written communications.

  • May be required to assist with providing secondary support to RRE Finance, COSO, Stations, and other interfacing organizations.

Qualifications:

Basic Qualifications

  • High school diploma/GED AND Ten (10) years minimum related work experience

Desired Qualifications

  • Bachelor's degree and two (2) years minimum of related work experience

  • Prior experience performing assistant/administrative functions for executive-level leadership

  • Exceptional organizational, multitasking, and problem-solving skills.

  • Proficiency in Microsoft Office Suite and other productivity tools.

  • Ability to communicate in a clear, concise and effective manner, both in writing and verbally

  • Excellent attention to detail and the ability to manage confidential information.

  • Flexibility to adapt to changing priorities and schedules.

  • Very good critical thinking and analysis skills

  • Knowledge of the industry and organizational structure

  • Ability to collaborate effectively across organizations and with all levels of employees

  • Effective interpersonal skills with the ability to learn all facets of the administrative functions

  • Power Plant or similar manufacturing experience

  • In-depth knowledge of Duke Energy and Fossil Hydro Operations policies, procedures and goals

  • Working knowledge of Plant View

  • Strong SharePoint experience with the ability to maintain the SharePoint Site for the Region

Working Conditions

  • M - F

  • Onsite Mobility Classification - Work will be performed at a company facility

  • Occasional overnight travel required

  • Weekends, early morning and late evening work is periodically required

  • Office environment
