Job Summary:

The Department of Human Oncology is recruiting for a new Research Administrative Specialist to add to our growing administrative team. This position serves as a primary point of contact for sponsored agreements, university internal funding and gift funding. Preaward responsibilities include working with principal investigators and research staff to assist in the creation of budgets and nontechnical proposal documents; prepare, route, and submit funding proposals to sponsors; assist investigators with various agreement documents and route the agreements to Research and Sponsored programs; serve as a departmental point of contact for Dean's office and campus contract reviewers.

Additionally, post-award duties will include award set up; award management to include approval of research expenses and invoicing in Workday; award reporting and closeout.

A successful candidate will demonstrate dependability, flexibility, and maturity. Candidates should be an effective communicator, have a service-oriented approach, be skilled at building interpersonal relationships, have strong multi-tasking abilities, and work independently using initiative and good judgment.


Responsibilities:
Works directly with principal investigator(s) and/or research program director(s) to carry out research administrative functions related sponsored grants, agreements, or award management (proposal preparation through closeout).

  • 10% Serves as a liaison and expert resource for researchers regarding the interpretation of policy and procedure related to overall sponsored project management
  • 35% Works collaboratively with researchers to prepare non-technical materials for proposals, drafting contracts or agreements for review, and/or advising award setup
  • 25% Leads researchers in the preparation and/or maintenance documentation, financial management, and/or reporting requirements related to sponsored grants, contracts, or agreements
  • 5% May identify funding opportunities and disseminate to principal investigators
  • 20% Maintains and monitors grants and contract budgets
  • 5% Assures compliance with grant, contract or agreement requirements and determine whether objectives are being met

Qualifications:

Required Qualifications:
- At least two years of administrative experience, preferably in research administration or a related area.
- Excellent communication skills, both written and verbal, with a demonstrated ability to interact professionally and effectively with stakeholders at all levels.
- Demonstrated dependability, flexibility, and ability to work independently while exercising sound judgment.
- Strong attention to detail and accuracy in reviewing, preparing, and processing financial and administrative documents.
- A service-oriented mindset with a commitment to supporting the department's research mission.
- Ability to maintain confidentiality and handle sensitive information appropriately.

Preferred Qualifications:
- Prior experience in research administration, grant proposal preparation, or financial management in an academic or healthcare setting.
- Familiarity with pre-award and post-award processes, including budget development, sponsor guidelines, and compliance regulations.
- Knowledge of university systems such as Workday, PeopleSoft, or similar platforms.
- Proficiency in Microsoft Office Suite, particularly Excel, and other data management tools.
- Strong organizational skills with the ability to manage multiple tasks and deadlines in a fast-paced environment.
- Experience working collaboratively with diverse teams, including faculty, researchers, and administrative staff.
- Knowledge of federal, state, and institutional research policies and funding mechanisms.


Work Type:

Full Time: 100%

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Depending on Qualifications
The expected salary for this position is $62,000. Actual pay will depend on experience and qualifications.
