The primary focus of this role is to support the Resource & Travel team within Gartner's Conferences business. This individual will be responsible for the creation and maintenance of tools and reporting to manage allocations / staff assignments of 40+ global conferences per year. This person will work regularly in Excel spreadsheets, creating tools and analyzing allocations that will enable Conferences Operations leaders to make informed decisions on resourcing & staffing

It is important for this individual to learn the role responsibilities of all functional teams. Partnering with their immediate team and key stakeholders across multiple teams, this self-starter should continually seek opportunities for improvement to help the Conferences organization evolve and scale effectively in a changing environment.

What you will do:

  • Responsible for building and maintaining all tools and reports to support the global conference staffing strategy. This includes leveraging existing templates, building new tools from scratch in Excel, and incorporating automation through macros, VBA, or Python to improve efficiency and scalability.
  • Review, analyze, and interpret current reporting and dashboards, identifying areas for improvement. Revamp and/or rebuild these reports to enhance usability, streamline processes, and make them more interactive and dynamic.
  • Manage technical aspects of all tools & reports, including troubleshooting issues, optimizing complex formulas, automating repetitive tasks, and ensuring data integrity across all recourses.
  • Provide support during bi-annual travel review process, proactively analyzing allocations to identify trends and provide suggestions for efficiency and cost reductions
  • Maintain a focus on creating agile tools, ensuring changes to business operations or team structures can be easily updated across all tools
  • Utilize historical data and anticipated conference needs to identify optimal staffing requirements across each conference
  • Ensure data from tools flow properly to the appropriate dashboards created by internal stakeholders
  • Oversee the maintenance of the flight class matrix, maintaining accurate data and formulas in the matrix and tools that align to the Conferences flight class policy
  • Responsible for ensuring R&T team adherence to SharePoint best practices
  • Prioritize, improve, and manage multiple tasks in a data-driven, high-performance environment
  • Assist with coverage of the Conferences Resource & Travel inbox based on inbox coverage schedule, responding to email inquiries within 24 hours

What you will need:

  • Bachelor's degree preferred, with 2 - 5 years' experience in project management, practical knowledge and skills in analyzing workforce needs is a plus.
  • Fully competent in Microsoft Office, especially SharePoint and Excel (ex. creating formulas from scratch, VLOOKUPs, VBAs, Python or any other programing language or automation tool that can automate or streamline processes.)
  • Ability to efficiently prioritize in a dynamic work environment.
  • Exceptional collaboration skills with proven ability to build partnerships across lines of business.
  • Exceptional oral and written communication skills; demonstrated ability to speak/write clearly and persuasively.
  • Consistent demonstration of integrity, collaboration, no-limits mindset, objectivity and delivery of results.
  • Inquisitive, creative, and innovative with exceptional problem-solving skills and very strong attention to detail.
  • Conference or event experience preferred.
  • Ability to travel 1 - 4x per year

Gartner believes in fair and equitable pay. A reasonable estimate of the base salary range for this role is 56,000 USD - 77,000 USD. Please note that actual salaries may vary within the range, or be above or below the range, based on factors including, but not limited to, education, training, experience, professional achievement, business need, and location. In addition to base salary, employees will participate in either an annual bonus plan based on company and individual performance, or a role-based, uncapped sales incentive plan.
