Primary Purpose of Organizational Unit
The College of Health and Human Services ( CHHS) is an interdisciplinary and integrated academic unit that includes three professional schools: the School of Nursing, the School of Social Work, and the School of Health and Applied Human Sciences. The Office of the Dean of the CHHS provides overall administrative support and oversight for all units within the College. In addition, the Office of the Dean coordinates a common support model that facilitates operational services, technical support, business services, support for research, and support for community engagement across the three schools. The overarching goal of the CHHS is to help individuals, families and communities live healthier, more prosperous, and more productive lives. We strive to accomplish this goal through excellence in teaching, scholarship, and service.

The Academic Affairs Operations Core Service Team (AAOps) is committed to supporting the College's mission to create transformative learning experiences, advance knowledge, and engage local and global communities. The team consists of two separate but integrated structures, logistics and data management operations ( LDM Ops) and applied learning operations ( ALO). Other team members include the Associate Dean for Academic Affairs ( ADAA) and the Executive Assistant to the ADAA. Our subject-matter experts meet the needs of the CHHS faculty, staff, and administrative units by facilitating interactions, providing informational resources, and implementing processes to navigate institutional policies and procedures.

Brief Summary of Work for this Position
The Executive Assistant provides administrative support for the Associate Dean for Academic Affairs ( ADAA) and the Academic Affairs Operations core service team (AA Ops) in the College of Health and Human Services ( CHHS). This position also serves as the primary administrative contact for select processes related to academic program assessment and accreditation, and provides backup to all other CHHS administrative support staff, as needed.

Specific responsibilities include, but are not limited to:

  • Managing all aspects of the ADAA and the Academic Affairs Operations team calendar and anticipating needs based on schedules, upcoming meetings, and the changing university environment
  • Conducting research to help inform new academic program proposal development
  • Generating documents, reports, spreadsheets, and presentations based on independent research and internal/external data
  • Developing and facilitating events, trainings, and workshops related to CHHS academic affairs
  • Drafting and editing of College-wide communications
  • Making travel arrangements, and submitting purchasing and reimbursement requests
  • Attending meetings, recording minutes, and summarizing actionable items
  • Maintaining the Academic Affairs Operations and procedural manuals
  • Providing backup to the Executive Assistant for the CHHS Dean on college wide initiatives
  • Addressing inquiries from faculty and staff, as well as other internal and external constituents

Minimum Education and Experience Requirements
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Preferred education, professional skills and experience

  • Graduation from a four-year college or university, preferably with a degree in Business Administration, Communications, or another related field
  • Demonstrate exemplary oral and written communication skills that can adapt to a wide array of audiences
  • Ability to manage multiple, complex projects simultaneously
  • Proficiency in Microsoft Office Suite applications
  • Ability to research, analyze, interpret, and communicate information, data, policies, procedures, and guidelines to determine and implement the best course of action
  • Experience with program assessment and/or accreditation
  • Demonstrate an understanding of internal and external partners, and interface with all parties using tact, discretion, and professionalism
  • Ability to work independently, as well as collaborate in a team setting
  • Demonstrate patience and ability to work effectively under pressure
