Acara Solutions is seeking a Accounts Payable Analyst for a client in Amherst, NY.

Pay Rate up to $30/hour based on experience

Hybrid Schedule (1 Day WFH) after 90 days

This position is responsible for supporting the CFO in managing the Accounts Payable (AP) functions and assisting with other accounting tasks as needed.

Key Responsibilities:

  • Vendor Invoice Processing: Receive, review, and enter vendor invoices accurately and in a timely manner.
  • Payment Processing: Prepare and process vendor payments, including checks, ACH, and wire transfers, ensuring compliance with company policies.
  • PO and Vendor Status Management: Maintain and update purchase order (PO) status and vendor payment schedules. Schedule payment appointments and manage vendor communications.
  • Check Run Preparation: Generate weekly check run reports and ensure appropriate documentation for cash flow management.
  • Expense Reconciliation: Prepare and reconcile AMEX expense reports, distribute summaries to cardholders, and ensure timely submission of supporting documentation.
  • Bank Reconciliation: Assist with monthly bank reconciliations for operating, CDA, and payroll accounts in GP (Great Plains) to ensure accuracy.
  • Commission & Insurance Payments: Enter and process commission payments, insurance invoices, and other miscellaneous expenses as directed by the CFO.
  • Cash Flow Reporting: Assist in preparing weekly expected payment reports to monitor and manage cash flow.
  • Vendor Communication: Maintain effective and courteous communication with vendors to resolve discrepancies and manage inquiries efficiently.

Additional Support Responsibilities:

  • Assist with receiving and processing documents from the bank.
  • Provide backup support for Accounts Receivable (A/R) and other accounting functions as needed.
Job Requirements

Required Skills / Qualifications:

  • Associates degree, Accounting
  • Minimum 3 years' experience with AP/AR

Preferred Skills / Qualifications:

  • ERP and/or CRM experience preferred
  • Bachelors degree, Accounting preferred
