Job Summary:

This role will be responsible for managing the business, fiscal, and administrative operations for the offices of the Chair of the Department of Ophthalmology, and the Director of Finance and Administration for the Department of Ophthalmology. This position will be in charge of managing projects, communications, philanthropic endeavors, calendars, events and budgets, appointments and clinical scheduling, travel, reimbursements and official functions of the chair and the DFA. This position will be the responsible point of contact for the administrative support team and will lead and mentor other administrative staff. This position will work closely with the Directors of Finance and Operations to help achieve objectives and ensure goals align with the Department of Opthamology initiatives. This position will also oversee data management and analysis on various operations and projects of the Department for distribution to the Chair and the DFA. This is a highly independent, fully operational position with a high level of discretion in decision making. Part of the duties will include being a liaison for executive level leadership across the campus and outside organizations, including UCH, CU, CU Medicine, CHCO, CU Foundation and philanthropic prospects and donors for the Department. Key Responsibilities:
- Oversees the day-to-day functions of the unit
- Plans and executes department wide events on behalf of the Chair and DFA including developing budgets, tracking and reconciling expense, negotiating contracts with vendors, managing timeline of the event.
- Works with DFA to manage department philanthropic activities in developing presentations to donors and foundation staff and assist in annual project and financial reporting for donors.
- Development and management of official Chair and Department correspondence
- Provide project management for Department initiatives led by Chair and DFA, developing processes, utilizing tools to track projects status and communicate updates and action items to key contributors inside and outside of the Department.
- Create, publish and update meeting agendas and notes.
- Schedule and coordinate meetings for projects with agendas.

Hybrid - this role is eligible for a hybrid schedule of 2 days per week on campus and as needed for in-person meetings in Aurora, CO.

Qualifications:
|
Minimum Qualifications:
- A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution
- Four (4) years of professional experience in full cycle administrative support and business operations, supporting executive level management.
- Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.
Preferred Qualifications:
- At least 5 years of experience providing administrative support to an executive/vice chair/VP in higher education or an academic healthcare setting
- 2 years of supervisory, mentorship, or lead experience
- Extensive, diverse and progressively responsible experience, including direct responsibility for managing customer centric operations and office support responsibilities.
- Experience managing executive level calendar, scheduling, event planning.
- Experience working with University of Colorado systems (Concur, CU Marketplace, etc.).
- Experience using Microsoft Office Suite, Google Suite, Copilot, Zoom, etc.
Competencies: Knowledge, Skills, and Abilities
- Ability to communicate effectively, both in writing and orally.
- Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
- Outstanding customer service skills.

Anticipated Pay Range:
|
The starting salary range (or hiring range) for this position has been established as $72,617 - $92,369. The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level. Your total compensation goes beyond the number on your paycheck.
