Overview

The IT Asset Administrator is responsible for the daily and strategic management of UnityPoint Health's hardware and software portfolios to optimize value, control cost, manage risks, and support compliance efforts. This role consolidates asset lifecycle management practices for both hardware and software assets, ensuring accurate inventory, procurement, leasing, licensing, and contract management. The position collaborates with internal departments, external vendors, and acquisition teams to maintain standardization and drive continuous improvement across IT asset practices. Depending on assignment focus, responsibilities may lean toward Hardware Asset Management (HAM), Software Asset Management (SAM), or a blend of both.

Hours: Monday-Friday 8am-5pm

Location: Remote, applicants preferrably reside in the UPH geograhpical areas of Iowa, Illinois, or Wisconsin

Responsibilities
  • Develop reports consolidating asset data, procurement status, licensing/lease schedules, deployment, usage, finance data, and compliance gaps.
  • Maintain asset tool databases with current, accurate, and complete records.
  • Monitor and respond to ServiceNow queue requests for asset quotes, procurement, and inquiries.
  • Assist in maintaining and enforcing IT Asset Management (ITAM) policies, procedures, and documentation.
  • Collaborate with internal departments (IT, Finance, Legal, Procurement) on asset-related activities.
  • Participate in audits and ensure adherence to asset management best practices.
  • Track and manage hardware asset lifecycle, including procurement, deployment, usage, leasing, retirement, and recycling.
  • Act as liaison with hardware lessors; oversee master lease activities including reporting, invoice approvals, delivery acceptance, and asset returns.
  • Work with shipping brokers and receiving docks to coordinate hardware returns and recycling processes.
  • Evaluate damaged devices and coordinate chargebacks or mid-lease buyouts as needed.
  • Maintain and update hardware catalog items.
  • Manage software portfolios to ensure compliance with license agreements and optimization of software usage.
  • Track and maintain license entitlements, maintenance agreements, installations, renewals, and compliance status.
  • Participate in negotiation and renewal of complex, enterprise-wide software agreements (e.g., Microsoft, Adobe).
  • Assist in the onboarding of software licensing for new UPH acquisitions.
  • Research and maintain knowledge of vendor licensing terms, EULAs, and best practices for software asset management.

Qualifications
  • Bachelor's degree in Computer Science or related field, or equivalent work experience
  • 2 years related IT Asset Management experience
  • 8+ years in IT Procurement
  • Experience with Asset Management tools, e.g. ServiceNow, Eracent
  • Experience with SCCM deployment tools (for hardware) or software scripting knowledge (SQL, Python, Shell) for reporting (for software)
  • Experience in enterprise-level contract negotiation
