Senior Administrative Associate - Veterinary Software

IDEXX is seeking a high-performing, detail-oriented administrative professional to support the Vice President & General Manager of Veterinary Software. In this role, you'll focus on enabling your executive to work efficiently and effectively, by expertly managing logistics, anticipating needs, and ensuring smooth day-to-day operations.

In the role of Senior Administrative Associate IV:

• Provide high-level administrative support to the VP of Veterinary Software with professionalism, discretion, and efficiency

• Manage complex, high-volume calendars and proactively adjust for shifting priorities and scheduling conflicts

• Monitor, organize, and manage the VP's inbox, including flagging and following up on time-sensitive items

• Coordinate travel arrangements, prepare expense reports, and manage Concur submissions

• Support departmental meetings, town halls, events, and special projects with logistics and planning

• Join key meetings when appropriate to stay ahead of deliverables and identify support opportunities

• Act as a liaison between the VP and internal teams, helping ensure alignment and timely follow-through

• Collaborate with a network of administrative professionals, sharing knowledge and best practices

• Handle ad-hoc projects and requests with a positive, solutions-oriented approach

What Do You Need to Succeed

• Minimum of 3 years of relevant administrative experience supporting senior leaders

• Demonstrated ability to operate with a high degree of discretion, initiative, and independence

• Strong organizational and project coordination skills, with keen attention to detail

• Ability to manage multiple priorities in a fast-paced environment and remain calm under pressure

• Proficiency in Microsoft Office Suite and experience using travel and expense platforms (e.g., Concur)

• Excellent written and verbal communication skills, with professional polish and responsiveness

• Comfortable with ambiguity and confident making decisions in the moment when direction is limited
