KJ is seeking a dynamic and experienced Administrative Professional Team Leader to oversee and elevate our administrative support services across the company. This is a unique opportunity to lead a distributed team of administrative professionals, drive operational excellence, and contribute to the success of a mission-driven engineering and environmental consulting firm.

Responsibilities:



  • Organize administrative support services, creating a cohesive team of support professionals providing diverse administrative support services across multiple locations. Supervision will often be done remotely using technology tools such as Teams.
  • Work closely with operations managers and administrative team members to gain a complete understanding of the scope and variety of administrative support tasks and needs, including support for those working remotely.
  • Hold regular one-on-one meetings with team members to reinforce successful practices and find solutions for any challenges and barriers to providing outstanding administrative support.
  • Coordinate with other support functions (e.g. Finance, HR, Marketing, H&S, Legal, IT, Communications, etc.) to create a cooperative, effective and mutually beneficial working relationship with the administrative support team.
  • Conduct capacity reviews and lead administrative workload planning so that staff meet their individual target goals and to create an equitable and organized sharing of duties between team members and multiple locations, capitalizing on individual strengths and interests.
  • Develop standard operating procedures and training for administrative support services and those who rely upon these services.
  • Monitor performance/utilization of team members, and conduct performance evaluations in alignment with KJ's performance review process. Reinforce and encourage exceptional traits and behaviors, including internal and external client service. Help team members improve performance in their individual growth areas by proactively addressing and resolving challenges.
  • Make compensation and promotion recommendations.
  • Manage requests for time off, schedule adjustments, and special requests for the administrative support team.
  • Organize training and skill development opportunities for team members and hold regular team meetings.
  • Drive efficiency of scale by creating and negotiating national accounts and special rates for products and services such as office supplies, shipping, printing, catering, and hotels (both local and national).
  • Create guidelines, procure supplies, and provide training and oversight in the use of national accounts.
  • Manage a program to monitor and track daily pool car usage across all locations.
  • Provide administrative support as needed.
  • Travel as needed to meet team members and participate in special projects. Travel is anticipated to be roughly 20%.


Qualifications:



  • 10+ years in administrative roles, with at least 5 years in a supervisory capacity.
  • Experience in the A/E/C (Architecture, Engineering, Construction) or professional services industries is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Office 365 tools (Teams, SharePoint), and familiarity with project management, billing, or creative software (e.g., Adobe Creative Suite) is a plus.
  • Strong interpersonal, organizational, and communication skills with a passion for mentoring and team development.

The salary range for this position is anticipated to be $75,000 to $95,000, and may vary based upon education, experience, qualifications, licensure/certifications and geographic location.
