Wages and Benefits

$23.07 - $25.00 per hour, depending on qualifications and experience. Earned Sick and Safe Time (ESST). PCYC sponsors a retirement plan with 25% match on your first 4% and immediate vesting.

Schedule

This is a temporary, part-time position that will work 25 hours per week.

A Typical Day in the Life...

A typical day as PCYC's Interim Capri Booking & Office Manager provides an opportunity to manage facility rentals to meet income goals while supporting the success of PCYC, the Capri, and their programs through flexible scheduling and event planning. Responsibilities will include the following:

Event Sales and Booking



  • Partner closely with the Capri Director to meet or exceed revenue goals through strong sales and relationship-building.
  • Respond quickly and clearly to rental inquiries, communicate effectively with clients and stakeholders, and coordinate with the Capri team using detailed event briefs.
  • Turn rental leads into confirmed bookings by checking availability, offering facility tours, following up, and managing production needs through phone consultations.
  • Prepare and adjust proposals, collect liability insurance, and promptly issue signed agreements and invoices.
  • Find new clients by networking, online marketing, hosting tours, and working with Marketing & Communications on promotions.
  • Deliver a smooth client experience with clear communication and an easy booking process.
  • Create event budgets forecasting expenses and income, with all events approved by the Capri Director before booking.
  • Ensure successful event days by developing and sharing comprehensive event briefings and timelines to prepare the Capri team.
  • Coordinate with Audience Services and Communications Directors for marquee and website updates, with final approval from the Capri Director.
  • Protect PCYC's investment by clearly communicating all Capri policies, procedures, and security requirements to clients.
  • Keep the Capri calendar and client database current by working closely with the team.


Office Management



  • Oversee daily office operations, keeping files, storage, and resources organized in the Capri office.
  • Monitor and restock office supplies to support all Capri Theater needs.
  • Maintain organized filing for contracts, agreements, insurance, and event documents.
  • Build and share clear event briefings with internal teams, including client and vendor contacts.
  • Customize and distribute event reports for staff to complete, then review and share with leadership for ongoing improvement.
  • Collaborate with the team to assess events using reports and help create plans for better efficiency.
  • Manage staff schedules to ensure smooth coverage and workflow.
  • Keep the Director of Finance and Operations updated on event sales, revenue, and expenses.


Who You Are



  • You've got at least 3 years of sales experience.
  • You've completed a 2-year degree, ideally with some focus or hands-on experience in Theater or Events.
  • You really value diversity-in ideas, backgrounds, and perspectives-and bring that mindset to your work.
  • You're great with people and enjoy working as part of a team.
  • You know how to keep projects on track and manage the details.
  • You're familiar with the arts scene in the Twin Cities and know how to tap into those resources for clients.
  • You're comfortable using computers and tech tools to get things done efficiently.
  • You're CPR and First Aid certified (don't worry, we provide the training!).
  • You're able to juggle multiple tasks on your own without losing focus on the details.
  • Preferably, you have a valid driver's license, access to reliable transportation, and the ability to meet PCYC's driving record requirements. Please note that if the license was not issued in the state of Minnesota, you have 60 days after becoming a Minnesota resident in which to apply for your Minnesota driver's license or permit (not applicable for new hires living out of state).
