The Senior Project Administrative Specialist plays a vital role in ensuring the efficient, timely, and accurate execution of project administration and support activities at field offices and project sites. This position supports Worley's mission of delivering sustainable change by enabling teams to operate effectively through well-managed systems, clear communication, and reliable documentation.

Working closely with project leaders, internal departments, contractors, and clients, this role helps to maintain operational integrity across large-scale energy, chemicals, and resource projects. The Senior Project Administrative Specialist also contributes to Worley's commitment to sustainability by supporting programs that enable streamlined, data-driven project delivery.

Key Responsibilities
  • Provide comprehensive administrative support to field project teams, including coordination of document control, timekeeping, scheduling, and reporting processes.

  • Maintain consistent communication with project stakeholders-both internal and external-to ensure alignment and resolve administrative challenges in a timely manner.

  • Support construction and engineering teams with accurate data management, tracking project milestones and maintaining records aligned with contractual and regulatory requirements.

  • Lead or coordinate specific project administration programs, processes, or initiatives with limited supervision.

  • Serve as the main point of contact for field-level support tasks, resolving complex administrative issues using knowledge of project procedures and organizational policies.

  • Contribute to the planning and execution of project logistics, ensuring resources, documentation, and team support functions are in place.

  • Provide guidance and informal supervision to other support staff, ensuring consistency in processes and promoting continuous improvement.

  • Collaborate with multidisciplinary teams to enhance project systems, workflows, and tools, supporting Worley's broader ambition to become a recognized leader in sustainability-driven solutions.

  • Uphold high standards of confidentiality, accuracy, and professionalism when managing sensitive documentation and communications.

Qualifications / Skillset
  • Completion of secondary education or equivalent, along with significant experience in administrative roles supporting complex, high-visibility projects.

  • Advanced understanding of project support functions including document control, procurement workflows, site administration, and digital timekeeping systems.

  • Demonstrated ability to work independently, manage priorities, and make informed decisions aligned with company policies and project goals.

  • Proven track record of handling multiple tasks in a dynamic project environment, with the ability to anticipate needs and proactively address potential issues.

  • Strong written and verbal communication skills, capable of preparing and contributing to reports, proposals, and stakeholder correspondence.

  • High attention to detail and accuracy in managing project documentation, schedules, and data reporting.

  • Proficient in using project management tools, administrative systems, and collaborative platforms to support remote and on-site teams.

  • Ability to mentor and guide others in the use of administrative systems and processes, supporting knowledge transfer and consistency across the team.
