Job Summary:

A role focused on improving the efficiency, effectiveness, and consistency of Human Resources operations within an organization. Act as a bridge between HR functional experts (COE and HRBP groups) to ensure that HR processes are well-designed, optimized, and supported by appropriate process and technology. The primary goal is to streamline and optimize HR workflows to enhance the employee experience, reduce administrative burden, ensure compliance, and support the overall strategic objectives of the business. The specialist is expected to achieve this by analyzing existing processes, identifying pain points, designing improved processes, and facilitating their implementation.

Key Responsibilities:

Process Analysis and Documentation:



  • Map out current HR processes (e.g., hiring, onboarding, transfer, offboarding).
  • Identify inefficiencies, redundancies, bottlenecks, and areas for automation.
  • Document existing and new processes, including flowcharts, standard operating procedures (SOPs), and user guides.


Process Design and Improvement:



  • Collaborate with HR subject matter experts (SMEs) to gather requirements and understand their needs.
  • Design and redesign HR processes to be more efficient, effective, and user-friendly.
  • Incorporate best practices, regulatory compliance requirements, and industry standards into process design.
  • Propose solutions that leverage HR technology (HRIS, ATS, LMS, etc.) to automate tasks and improve data flow.


Technology Integration and Optimization:



  • Work closely with HRIS teams to ensure HR systems support optimized processes.
  • Participate in the selection, implementation, and configuration of new HR technology.


Change Management and Training:



  • Develop and deliver training programs to HR staff and employees on new or updated processes.
  • Create job aids and communication materials to facilitate process adoption.
  • Support change management efforts to ensure smooth transitions when new processes are implemented.


Compliance and Governance:



  • Ensure all HR processes comply with relevant labor laws, regulations, and company policies.
  • Establish process governance frameworks to ensure consistency and adherence to standards.


Project Management:



  • Manage or contribute to HR projects focused on process improvement or system implementation.


Qualifications:



  • A minimum of 10+ years of experience in Human Resources and a Bachelor's degree in Human Resources, Business Administration, Information Systems, or a related field is typically required.
  • Strong analytical and problem-solving skills: Ability to dissect complex processes, identify root causes of issues, and develop practical solutions.
  • HR Domain Knowledge: A solid understanding of various HR functions and the employee lifecycle.
  • HR Technology Acumen (HRIS): Experience with major HRIS platforms (e.g., UKG) and an understanding of how technology can enable HR processes.
  • Communication Skills: Excellent written and verbal communication to collaborate with diverse stakeholders, document processes, and deliver training.
  • Project Management: Ability to manage multiple tasks, prioritize, and drive projects to completion (PMP or similar certification is a plus).
  • Change Management: Understanding of change management principles to guide stakeholders through process transitions.
  • Attention to Detail: Meticulous in documenting processes and ensuring accuracy.
  • Continuous Improvement Mindset: A proactive approach to identifying opportunities for optimization (Lean, Six Sigma knowledge is beneficial).
