Health, Safety & Environment (EHS) Administration Coordinator

Summary of the Role

The EHS Administration Coordinator, as part of the JLL Resilience and EHS department, supports the client's Environment, Health, and Safety (EHS) program by maintaining documentation, assisting with compliance to internal standards (including ISO 14001 and ISO 45001), and supporting local regulatory requirements. This role acts as a point of contact for EHS support, coordinates with the client's regional EHS Lead, and reports to the JLL Global HSSE Manager. The position is ideal for a health and safety professional passionate about sustainability and compliance, seeking to further develop their career with an industry leader.

Note:This is a support role. The EHS Administration Coordinator does not represent the client with regulatory or governmental agencies and does not provide specialty or consultation services. Some travel possible to other sites in US.

Key Responsibilities

  • Documentation & Compliance
    • Maintain and organize EHS documentation for all sites.
    • Support internal and external audits and certification processes.
    • Track and monitor EHS objectives and implementation activities.
    • Prepare monthly and yearly EHS data/statistics for internal review.
    • Ensure accuracy of statistics before external use.
  • Safety & Awareness
    • Assist with periodic safety inspections using standard checklists.
    • Conduct floor-level EHS awareness sessions using client-provided materials.
    • Collect and communicate EHS feedback from sites/employees.
  • Meetings & Reporting
    • Schedule and track safety committee and management review meetings.
    • Track action items to closure and escalate non-conformance.
    • Send reports to JLL and client EHS leadership.
  • External Support & Inspections
    • Coordinate and support external inspections, surveys, and testing.
    • Facilitate access, logistics, and documentation for external agencies.
    • Maintain records and ensure compliance reviews.
  • Facility & Emergency Preparedness
    • Conduct visual inspections of first aid kits, fire extinguishers, AEDs, and gas suppression systems.
    • Track Emergency Response Team (ERT) members and report compliance.
    • Assist with scheduling and documenting emergency preparedness drills.
    • Verify asbestos documentation and escalate findings as needed.
  • Vendor & Contractor Management
    • Support external vendor/contractor/landlord evaluations to EHS standards.
    • Coordinate with external agencies for EHS monitoring and action planning.
  • Other Support Functions
    • Assist with EHS budget preparation.
    • Support ergonomic assessments for associates.
    • Maintain legal registers and update compliance status.
    • Participate in internal audits as auditor or auditee (with training).
    • Prepare country-specific work instructions as directed.

Key Deliverables

  • Documentation of compliance with EHS Management System policies and procedures.
  • Feedback and root cause analysis for observations and non-conformances.
  • Tracking and reporting of audit findings and workplace inspections.
  • Travel support as needed (costs reimbursed by client).

Desired experience and technical skills -

Required:

  • Knowledgeable about regulatory topics (OSHA, EPA, NFPA, ANSI, FDA, GMP, etc)
  • MS Word, Excel and PowerPoint, SharePoint
  • Strong communication and interpersonal business skills
  • Self-starter capable of working from client instruction, written processes or procedures

Preferred:

  • Administrative and reporting experience
  • Preferred experience with environmental, and safety-related regulatory compliance
  • High levels of interdepartmental collaboration
