Job Summary:

A center for global excellence in undergraduate and graduate education and research, Northwestern's Department of Chemistry seeks a self-directed administrative professional to help support its mission. The Program Coordinator supports the research operations for a group of Chemistry faculty, ensuring the smooth functioning of the labs and a positive experience for all group members.

This is a full-time position that works largely on-site with some opportunities for remote work.

The target hiring range for this position will be between $53,000 - $68,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.

Specific Responsibilities:

Lab Coordination:

  • Manages day-to-day operations of research groups. Coordinates searches for research positions and onboards new hires and students. Provides support to all group members, answering inquiries, and recommending campus resources. Facilitates departures of lab members. Identifies service improvement opportunities to better support groups' success. Update groups' websites.

Research Administration:

  • Updates and maintains documents required for the submission of research proposals. Proactively updates documents, utilizing information sources to pull and collate relevant data. Reads grant applications to ensure all needed documents are prepared in accordance with requirements. Effectively communicates with Department research administration during submission processes.

Events:

  • Coordinates programming, including conferences, meetings, and colloquia. Manages all event logistics including creating and disseminating schedules and itineraries; arranging catering; preparing materials; making travel arrangements; serving as a resource to invited visitors; reserving venues; and staffing events.

Administration:

  • Manage calendars and travel; submit and track expense reports. Assemble reports and other documents to support faculty members' activities.

Financial:

  • Ensure that the groups' accounts are actively monitored. Track groups' various funding sources and ensure transactions are charged correctly. Track funding of lab positions, ensuring positions are charged to appropriate sources. Report needed changes and follow through to ensure transactions are completed.

Miscellaneous

Performs other duties as assigned.

Minimum Qualifications:

  • Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
  • At least one year program/project administration or other relevant experience.

  • Strong computer skills
  • Ability to work independently
  • Resourcefulness
  • Initiative

Preferred Qualifications:

  • At least three years office management experience
  • Previous higher education experience
