Billing Assistant
The Billing Assistant supports the efficient execution of the Firm's legal billing processes in collaboration with the Billing Analyst, including clerical and administrative tasks integral to the monthly billing cycle. The Billing Assistant is also tasked with maintaining accurate client and matter records and updating billing rates. Additionally, the role involves responding promptly to internal and external inquiries, resolving billing discrepancies, and providing exceptional customer service to both clients and Firm staff. The individual in this position is expected to demonstrate strong attention to detail, confidentiality, and problem-solving skills, as well as the desire to learn billing software, accounting tools, and e-billing vendor systems. The candidate must be adaptable to changing priorities, collaborative, and able to handle a high volume of work in a fast-paced environment while adhering to Firm policies and client guidelines. This position has no supervisory responsibilities. This position will be remote and associated with the Washington, DC office.

Essential Functions

  • Responsible for proforma edit and time review process - ensure proformas are returned and edits processed timely.
  • Work with New Matter Intake to review setup of new clients and matters.
  • Work with Pricing to update rates for ebilled clients.
  • Work with Billing Analyst to ensure data is provided as needed for successful ebilling submission.
  • Prepare billing records, letters, and statements to clients and send using software solution.
  • Prepare bill/payment histories, including backup copies (as requested).
  • Create and upload client accruals as needed.
  • Resolve client-billing problems applying good customer service in a timely manner.
  • Resolve basic discrepancies as needed.
  • Ensure prompt follow-up regarding inquires, to avoid delay in billing processes.
  • Recognize that service to clients (both internal and external) is the Firm's number one priority.

Non-Essential Functions

Minimum Qualification

  • High school diploma or equivalent; College degree or commensurate experience preferred.
  • Law firm or professional services background is a plus.
  • Experience working in a billing, accounting, or administrative support role is a plus.

Success Factors

  • Must have strong attention to detail and a high degree for accuracy in all work products.
  • Excellent verbal and written communication skills to interact professionally with attorneys, clients, vendors, and business professionals.
  • Proficiency in Microsoft Office products such as Word, Excel, Outlook.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
  • Interpersonal skills necessary to maintain effective relationships with attorneys and business professionals via telephone, email or in person to provide information with ordinary courtesy and tact.

Work Environment

  • Non-smoking environment.
  • Must be available to work beyond normal work hours.
  • Must be able to work under tight deadlines and stressful situations.
  • Hybrid work arrangements are available for this position.

The anticipated base salary range for this position is $50,000 - $55,000. The actual base salary offered will be dependent upon the applicant's experience and qualifications, as well as other job-related factors, including but not limited to, relevant skills, education, certifications or other professional licenses held, and if applicable, geographic location.
