Primary Purpose of Organizational Unit
Established in 2003, the Carolina Center for Jewish Studies, an interdisciplinary academic program in the College of Arts and Sciences, promotes a deeper understanding of Jewish history, culture and thought through its teaching, research and community outreach initiatives.
Position Summary
This position may be eligible for a hybrid work arrangement that may include a partially remote work location, consistent with System Office policy. UNC Chapel Hill employees are generally required to reside within a reasonable commuting distance of their assigned duty station.

The Business and Events Coordinator independently handles fiscal, administrative and events coordination on behalf of the Carolina Center for Jewish Studies.

This position provides daily fiscal and office coordination, processing all accounting and standard personnel actions and handling operational and event assignments. Duties include preparation and submission of vouchers, reimbursements, independent contractor approvals and payments, purchase order requests, travel requests, card reconciliations, payment of faculty grants and student fellowships/awards, journal entries and overloads. This position handles a variety of administrative needs including student hire actions, supply orders, parking coordination, mail and shipping orders, surplus, and office technology purchasing and upkeep. This position is the Center's expert with university systems and office technology including InfoPorte, ConnectCarolina, CONCUR and Bank of America Works System. In addition, this position handles day-to-day upkeep of the annual operating budget helping to ensure funding compliance, runs reports related to fiscal, student and other activities, tracks spending year-to-year for various programs, etc. This position maintains office supplies, organizes meetings and creates a master calendar, oversees facilities and manages the office to help run the Center. This position assists with communications efforts including maintaining listservs, placing copy/print orders, and providing proofreading assistance. The Business and Events Coordinator will assist with the Center's fellowships and grant-making programing, including updating application forms, gathering applications, communicating to faculty and students, organizing files for review, preparing award letters and processing payments. This position provides general program support for the Center's services and activities, creates systems and protocols, and serves as the primary point of contact for campus colleagues, including affiliated faculty and students.

Moreover, this position provides essential administrative support for the Center's robust events program, including the independent contractor process, booking visitor travel, securing lecture/event venues, booking hotels and catering/restaurants; creating detailed itineraries for guests and compiling RSVP lists, including communications with faculty/students to help with these needs; coordinating setup for remote events and other technical aspects of events; providing or hiring AV and other event support; and working closely with guest speakers, venue and tech staff, catering reps, and Center staff and faculty.

All of these responsibilities have recently expanded considerably due to the Center's ongoing growth. The Business and Events Coordinator is the only fiscal/administrative staff member at the Center and therefore must demonstrate considerable knowledge with UNC business functions, must be comfortable working independently and have a willingness to learn new systems and protocols on an ongoing basis. This position requires solid organizational skills and the ability to prioritize and track work responsibilities.
Minimum Education and Experience Requirements
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Required Qualifications, Competencies, and Experience

  • Strong fiscal processing and budgeting skills
  • Experience with event coordination and logistics
  • Proficiency with MS office required. Strong computer and AV skills.
  • Track record of working independently with strong communication, collaboration skills, and multi-tasking skills.

Preferred Qualifications, Competencies, and Experience

  • Experience with all UNC fiscal, travel and purchasing systems and protocols such as ConnectCarolina, Infoporte, Concur, Works.
  • Experience with fellowships and grant award processing at Carolina, including use of GradStar.
  • Experience working in an administrative, fiscal and/or events position at Carolina.
  • Knowledge of basic AV set up for in-person events and Zoom webinar/meeting set up for remote events.
