Position Highlights

The Center for Innovation in Brain Science (CIBS) is an exciting research nexus at the University of Arizona cultivating collaborations and providing expertise in the area of translational neuroscience. The Faculty in CIBS conduct cutting-edge research primarily related to four specific age-related neurodegenerative disorders - Alzheimer's disease, Parkinson's disease, Multiple Sclerosis and Amyotrophic Lateral Sclerosis.

The center is currently seeking a Administrative Operations Professional I to participate in day-to-day operations supporting clinical animal operations. Candidates shall maintain detailed documentation of laboratory procedures and experiments while adhering to all Standard Operating Procedures and safety policies.

Duties & Responsibilities
  • Reconcile and manage CIBS departmental grants, contracts, and other funding sources, ensuring compliance with sponsor, UA and governmental policies and regulations.
  • Prepare/process financial transactions, including PCard, purchase requisitions, disbursement vouchers, interdepartmental billing forms, travel expense reports, etc.
  • Review, monitor and approve all departmental expenditures (including grant expenditures) and ensure alignment with budget and scope of work.
  • Prepare salary expense transfers and general error corrections appropriate to account or object codes across various account types for general department financial management.
  • Assist with financial operations for a specific training grant, including stipend schedules, reimbursements, and ensuring compliance with grant requirements.
  • Assist with preparing financial reports available to training grant fellows. Will manage stipend(s) schedule, travel and expenses for individual cohorts. Also, manage purchase orders for dorms.
  • Following standard protocols and liaising with training grants coordinator, monitor post-award management of subaward agreements, which includes budget modifications, document preparation and submission, and follow-up with subrecipients to ensure timely billing in accordance with sponsor guidelines. This includes analyzing and preparing reports, ensuring alignment with contract/grant budget and scope.
  • Prepare cost-share and review/approve effort reports as necessary.
  • Assist with creating and using reports to help track departmental accounts for budgeting, forecasting, and other functionality. This involves reviewing standard operating procedures and recommending improvements as needed for financial planning.
  • Provide assistance with complex tasks and special projects for accounting and university staff, to support general university operations.
  • Review, document, and support accounting and business procedures, practices, and controls related to overall business office functions/tasks.

Knowledge, Skills, and Abilities:

  • Knowledge of UA policies and procedures, and systems: UAccess Analytics, Financials, Employee and Research.
  • Proficiency in MS Excel and Word.
  • Excellent interpersonal, communication, analytical and problem-solving skills.
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • One (1) year of relevant work experience may be required
