Mott MacDonald is currently seeking a Project Administrator to assist project managers in our Southeast Division team. This team member will provide project-related administrative services to Bid/Project Managers and Bid/Project Principals and will focus on internal governance. They will mostly provide support across projects within the Division that they work in; however, depending on workload they may provide support to proposals/projects in other Divisions.

Responsibilities include:



  • Support & facilitate compliance with Mott MacDonald's internal business management system for all projects
  • Capture opportunities in MM's customer relationship management system, supporting completion of internal electronic forms, undertake due diligence of clients and subcontractors
  • Support project managers with updating and maintaining our projects system including all internal electronic forms on a project
  • Adhere to internal Business Management System (BMS) procedures, as well as financial procedures, ensuring all projects are compliant
  • Perform project document control and review of submittals for compliance
  • Provide internal and external progress reports as required
  • Schedule and attend meetings as required. Prepare meeting notes/minutes as well as produce materials for meetings
  • Prepare ad-hoc reports for distribution
  • Assist in developing fee proposals
  • Provide reporting support as required
  • Assist with internal and external audit preparation and response
  • Liase between project teams and division / unit management to help meet strategic goals / compliance benchmarks
  • Provide guidance to project teams on internal processes and requirements



We invite applications from candidates with the following experience:



  • A degree or equivalent in a relatable major
  • An understanding of working with clients and engaging with appropriate stakeholders
  • Experience building relationships and ensuring effective communication with all parties
  • Pro-active problem-solving mentality with proven experience in stakeholder management
  • Excellent interpersonal skills with proven ability to work effectively as part of a multi-disciplined team
  • Experience with document control
  • Experience with Business Management Systems
  • Experience with engineering projects preferred
  • Working knowledge of project design process and configuration management preferred
  • Capable of tracking budgets and deliverables against overall project/program requirements
  • Must have exceptional organizational skills
  • Excellent written and verbal communication skills
