The Institute for Defense Analyses (IDA) is an independent, non-profit corporation that operates three federally funded research and development centers (FFRDCs). This position falls under our Systems and Analyses Center in Alexandria, VA. We provide objective analyses of national security issues and related national challenges to the Department of Defense and other federal government agencies.

Position Overview

This position provides final curation, distribution, and archiving of Division publications and administrative support to the Operational Evaluation Division (OED) at the Institute for Defense Analyses. This position's responsibilities include providing assistance and guidance to Division research and support staff on the proper format of IDA publications, as well as performing administrative tasks that support the Division's operations and research activities. These activities require extensive use of software, including Microsoft Office, Adobe Acrobat, SharePoint, and IDA's internal publications workflow management tool.

Responsibilities:

  • Use Microsoft Office, Adobe Acrobat, collaborative web-based tools such as SharePoint, and other computer software to review, finalize, and distribute a wide variety of documents, including research papers, memoranda, and technical reports.
  • Work closely with IDA's editorial team and researchers to ensure all work products conform to IDA's, OED's, and the sponsor's publication standards.
  • Ensure that classified and special handling material is marked as described in the Industrial Security Manual (ISM) and is stored and handled according to IDA policy.
  • Work with the author and editors to ensure the various forms required for some publications have been completed correctly.
  • Maintain accurate and up-to-date contact lists for all recipients of IDA publications and products.
  • Distribute IDA products to internal and external recipients in compliance with required security practices, including encrypted email when necessary.
  • Coordinate and serve as liaison with staff in Corporate Communications and the Copy Center for the print production of publications and other products.
  • Collaborate with the editorial team to provide guidance and training to OED personnel in use of document templates, document-related processes and procedures, and applicable procedures for security markings and publication classification.
  • Collaborate with the administrative team to provide support to the division, such as monitoring and restocking office supplies, planning and coordinating division events, training and mentoring new administrative staff, and supporting the onboarding of new staff.
  • As requested, support project leaders in managing aspects of their projects - for example, monitoring funding execution, constructing regular reports, archiving data, and tracking product progress.
  • Provide logistical support for interviews and meetings as applicable, including scheduling, booking conference rooms, sending calendar invites, and assembling interview schedules.
  • Assist in preparing and distributing division communications, announcements, and other administrative documentation as needed.
  • Aid in administering the OED SharePoint site as needed.

Minimum Job Qualifications:

Education: Bachelor's degree is required

Experience: 5 years of experience of demonstrated success in providing task support to a technical group or in a technical work environment. Experience in supporting projects with DoD and/or DHS desired.

Knowledge/Skills/Abilities:

* Excellent written and oral communications skills.

* Strong organizational skills with the ability to prioritize and handle many complex concurrent tasks.

* Demonstrated interpersonal skills and ability to interact with senior government officials and military officers.

* Demonstrated proficiency with Microsoft Office and Adobe applications to include moderate to advance level proficiency in MS Office Suite.

* Ability to handle proprietary or sensitive information, exercise appropriate discretion, judgment and initiative in completing assignments.

* Ability to interact and communicate with all levels of personnel and work collaboratively as part of a larger editorial and administrative team.

* Ability to quickly gain familiarity with IDA Security Practices and Procedures Manual and the Industrial Security Manual (ISM).

* Ability to obtain and maintain a TS/SCI security clearance.

* Successful completion of a background check is required.

Pay

We support transparency, equity, and fairness in our compensation program and provide a reasonable estimate of the salary range based on data-driven market analysis for each position. While it is not typical for an individual to be hired at or near the top of the range, a reasonable estimate of the salary range for this role is $66,811 - $106,898. Individual salary within this range will be commensurate with the incumbent's experience, unique skills and qualifications, and other relevant factors.
