JOB SUMMARY

The Materials Management Specialist plays a key role in supporting the campus's IT infrastructure by managing ITS warehouse and inventory operations. This position ensures that high volumes of critical technology supplies and equipment are available when needed, coordinates deliveries for projects and service orders, and maintains accurate asset and billing records to support financial and audit requirements.

The specialist partners with vendors, campus stakeholders, and ITS teams to streamline processes, improve efficiency, and keep IT operations running smoothly. In addition, the role provides leadership to student employees and maintains a safe, secure, and organized warehouse environment that enables ITS to deliver reliable technology services across campus.

APPOINTMENT INFORMATION

Budgeted Salary: $34.82 - $45.22/hour. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

45% - Warehouse & Inventory Management

  • Responsible for maintaining ITS warehouse operations, including over 1,000 inventory items and approximately $3.5 million in annual materials and equipment.
  • Ensures the accurate issuance, tracking, and replenishment of supplies and equipment using the inventory management system.
  • Monitors inventory activity including setting minimum/maximum stock levels and ensures replenishment of materials according to inventory management practices and policy.
  • Maintains inventory accuracy by updating asset records with serial numbers, locations, and project codes, and reconciling system data against physical stock.
  • Coordinates receipt, storage, staging and delivery of equipment for projects, service orders, and Network Operations Center (NOC) configuration; personally transports assets to and from client locations.
  • Manages records in the Assets and Inventory Management software for procurement, deployment, reassignment, and decommissioning of serialized assets and UC property.
  • Refines workflows and clean up legacy records to improve tracking reliability, streamline asset management processes, and support audit readiness.

30% - Purchasing & Vendor Coordination

  • Responsible for coordinating with vendors for equipment purchases, repairs, returns, and exchanges.
  • Researches and recommends cost-effective sources in collaboration with ITS staff and campus stakeholders.
  • Creates and tracks purchase requisitions, orders, and invoices according to procurement and purchasing standards.

15% - Financial & Data Management

  • Reviews and analyzes monthly inventory and accounting reports to ensure accuracy.
  • Responsible for ensuring proper billing and cost allocation for service orders and capital projects.
  • May include verifying invoices against quotes, contracts, and purchase orders to ensure compliance and timely payment.
  • Assists with database updates, workflow completion, and cleanup of legacy records to improve reporting and tracking reliability.
  • Provides data extracts from Assets and Inventory Management software to support audits, billing reconciliation, and project cost reporting.

10% - Operations & Staff Support

  • Supervises student employees in warehouse processes and service order fulfillment.
  • Maintains secure and organized warehouse spaces, ensuring safe handling of materials.

REQUIRED QUALIFICATIONS

  • Experience with Assets and Inventory Management software.
  • Experience with Accounts Payable processes.
  • Experience with storekeeping procedures and systems; shipping, receiving, stocking, and dispensing of items within a warehouse; and purchasing, inventory control methods, and auditing; and appropriate safety measures
  • Working knowledge of spreadsheet software.
  • Knowledge of telecommunications and networking infrastructure components, hardware, and terminology to communicate with technicians, engineers, outside agencies and suppliers, to understand market developments and to carry out the obligations of the position.
  • Working knowledge of Federal and State regulations related to receipt, handling storage and distribution of appropriate classes of material.
  • Organizational and time management skills sufficient to function under and adapt to changing priorities in a dynamic, fast-paced environment, while maintaining attention to detail to assure completion and accuracy of all assignments.
  • Excellent recording skills, to include data entry, inquiry, and retrieval on a computerized inventory tracking system.
  • Verbal communication and active listening skills.
  • Critical thinking and problem-solving skills.
  • Writing skills for communicating in a concise, respectful and clear manner.
  • Ability to learn and understand University purchasing functions and procedures.
  • Ability to interpret campus Accounts Payable practices, policies and procedures.
  • Ability to supervise student workers, including coaching and mentorship.
  • Ability to apply and meet customer service standards.
  • Ability to drive University vehicles and operate pallet jacks according to safety protocols and policy.

PREFERRED QUALIFICATIONS

  • Experience with a telemanagement database.

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Selected candidate must pass the employment misconduct disclosure process.
  • Must possess a valid license to drive in the state of California and participate in the Department of Motor Vehicles (DMV) pull notice program.
  • Ability to safely perform the physical requirements necessary to move light to moderate objects up to 60 lbs., with or without accommodation.
  • The selected candidate will be required to work all scheduled hours on-site.
  • Ability to work safely in areas where hazardous materials are present or stored.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
  • Information Technology positions are responsible for the security of UC Institutional Information and IT Resources. The incumbent is required to follow all applicable information security policies, procedures, and standards to maintain minimum standards of information security for data, systems and applications. Supervisors are responsible for making sure their staff have appropriate security skills and qualifications, and complete all appropriate and required security training.
