We have an exciting opportunity for an Administrative Assistant at UL Research Institutes, based in our Research Triangle Park, NC office. The Administrative Assistant provides administrative support to ensure efficient operation of research management. The Administrative Assistant handles a variety of tasks, including maintaining records, coordinating meetings, handling correspondence, organizing files and reports, and assisting with project management tasks.

This will be an onsite, hybrid position.

What you'll learn and achieve:

As the Administrative Assistant, you will play a key role in the rapid growth of UL as you:

  • Provide a wide variety of administrative support for research, communication, partners and outreach teams.

  • Assist with the preparation of documents, reports, and presentations.

  • Organize and maintain paper and electronic files including agreements, invoices, and business documents. Support internal communications, maintain and update intranet site, i.e. SharePoint.

  • Assist in the coordination of meetings and events, including CIRI's scientific speaker series events.

  • Handle incoming and outgoing correspondence.

  • Perform basic bookkeeping tasks, such as managing expense reports and invoices.

  • Assist with project management tasks, including tracking deadlines and milestones.

  • Provide general administrative support to management and other staff members as needed.

  • Perform other duties as directed.

Professional education and experience requirements for the role include:

  • High school diploma or equivalent. Bachelor's degree in science or public health related discipline, preferred.
  • Minimum 2 years of experience in an administrative role with demonstrated success in project management, and reporting.
  • Proficiency with the Microsoft Office Suite, advanced skills in SharePoint, Excel and PowerPoint are preferred.
