We are looking for a detail-oriented Document Control Specialist to manage the uploading and organization of documents within our application platform. This role involves ensuring that all internal and external customer documents are accurately and efficiently uploaded, maintained, and accessible through our system. The ideal candidate will excel in a tech-savvy environment, possess strong organizational skills, and be able to handle documents with a high degree of accuracy and confidentiality. Key Responsibilities:
- Document Upload: Manage the uploading of various types of documents (e.g., contracts, reports, forms) into our application platform, ensuring that all files are accurately categorized and tagged.
- System Maintenance: Ensure the document management system is up-to-date, user-friendly, and efficient. Troubleshoot any issues related to document uploads and access.
- Internal & External Collaboration: Work closely with internal teams and external customers to gather, verify, and upload required documents. Facilitate communication to resolve any issues related to document submissions.
- Compliance: Adhere to company policies and external regulatory requirements regarding document management and data security.
- Training & Support: Provide training and support to internal users and external customers on the document upload process and system functionalities.
- Quality Assurance: Perform regular checks to ensure document accuracy and integrity, and manage version control to track updates and revisions.
- Reporting: Prepare and maintain reports on document upload activities, system usage, and compliance metrics.
- Any additional projects assigned by Manager.
Qualifications:
- Education: Associate's degree in Business Administration, Information Management, or a related field; Bachelor's degree preferred.
- Experience: Minimum of 2-3 years of experience in document management, administrative roles, or related fields, with a focus on digital document handling.
- Skills: Proficiency in using document management systems and applications. Strong organizational skills and attention to detail are essential.
- Technical Proficiency: Experience with document upload processes and applications (e.g., SharePoint, Dropbox, proprietary document management systems). Familiarity with office software (e.g., Microsoft Office Suite).
- Communication: Excellent written and verbal communication skills, with the ability to interact effectively with internal teams and external customers.
- Knowledge: Understanding of document control procedures and data security best practices.
- Personal Traits: High degree of integrity, reliability, and ability to handle sensitive information with discretion.
