Job Summary This position will have overall responsibility for DOT compliance and maintenance of the transportation fleet at Mansfield Service Partners (MSP). MSP operates a fleet of approximately 225 LTL, FTL, Vacuum, Box, Stakebed and pickup trucks used in the delivery of motor fuels and lubricants with operations in Colorado, Minnesota, Ohio and Texas. The primary responsibilities for the position are summarized below:
- Registration, licensing and compliance of the fleet - The DOT compliance maintenance coordinator is responsible for managing compliance with all regulations (Department of Transportation, FMCSA, etc) and all licensing and registration requirements (including annual inspections) across MSP fleet. The DOT compliance maintenance coordinator will promptly communicate any driver safety or compliance issues to Business Unit management and work collaboratively to resolve.
- Maintenance of vehicles for the fleet -The DOT compliance maintenance coordinator is responsible for coordinating preventive maintenance, repairs, procurement programs for all related items (tires, pumps, hoses, fittings, vendor selection for repairs including PMs, etc) and any facilities related to the operation of the fleet. The DOT compliance maintenance coordinator will assist in responsibility for tracking overall cost of ownership on each asset across MSP including fuel consumption, maintenance, major repairs, etc. MSP's fleet includes FTL, LTL, Box, Vacuum, Stakebed and pickup trucks.
- Truck DOT files - list of any and all citations/violations on MSP assets and ensuring the correct parties are addressing what is needed to get the assets in compliance.
- Tank Inspections (V&K, 5 year test, wet test, etc.) - controlled and detailed compliance on all truck loading requirements at all loading facilities with expiration dates.
- Fleet Asset technology - The DOT compliance maintenance coordinator will have oversight on asset technologies including telematics, camera systems, inventory and maintenance software, SMARTruck.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Responsible for all licensing and permitting for all company owned and leased/rented
- Responsible for the inventory of all Samsara and SLX devices
- Responsible working with 3rd party companies reporting IFTA ensuring timely and accurate reporting
- Responsible for tracking/managing/monitoring asset placement working with various internal groups (accounting, EHS, and operations)
- Provide effective servant leadership and operate with a safety first culture each day.
- Assist with procurement of all preventive/repair maintenance and parts across all locations and track costs for each asset.
- Assist in clear strategy to achieve measurable and financial goals for the Fleet in each region.
- Ensure that all internal policies and government safety and regulatory standards are met.
- Assist in developing and implementing clear strategies for maximizing fleet productivity and safety.
- Interact with all relevant Mansfield Service Partners departments daily to maximize profitability and customer retention.
- Daily communication with vendors and logistics and follow up on any repairs.
- Organize and participate in weekly calls with vendors to discuss any issues or concerns.
- Review invoices from vendors and dispute if necessary. File warranty claims as needed. Utilize PO issuing program.
- Assist in the development of performance plans to achieve goals and implement corrective actions when necessary within teams.
- Strong mechanical knowledge of major truck brands (Kenworth, Freightliner, International, and Peterbilt) tanker/truck components including PTO's, Pumping units, Heil and Polar trailers, as well as meters, calibration practices, weights and measures regulatory requirements.
- Work with process improvement, change management, and quality improvement experts to improve operational efficiency and effectiveness.
- Other duties as assigned.
- Must be willing and able to travel up to 25%.
Physical and Environmental Conditions The position is located in an office and outdoors environment frequently encounters dirt and dust, noise and vibration, fumes, odors and humidity. May be frequently exposed to mechanical, chemical and electrical hazards. This position also requires travel via vehicle and airplane. The employee is required to sit for long periods of time and occasionally stand, walk, use hands and fingers, handle or feel, reach with hands and arms, climb or balance, stoop, knee, crouch, talk and hear. The incumbent frequently lifts up to 25 lbs. Minimum Education, Experience and Certification
- Minimum five (5) years of experience in Fleet operations, and supply chain in the trucking industry.
- Five (5) or more years Fleet management.
- Two (2) or more years of leadership experience a plus for driving process improvement and cross functional influence.
- Strong understanding of DOT compliance and FMCSA safety compliance required.
- Strong technical ability with respect to operations and the management of logistics.
- Strong mechanical ability with understanding of our fleet.
- Bachelor or Master's degree in business, operations, or supply chain preferred.
Knowledge, Skills, and Abilities
- Must possess effective written and oral communication skills
- Must have excellent interpersonal skills and problem-solving techniques and skills
- Working knowledge of mechanical components within fleet (i.e. PTO's, pumps, etc.)
- Strong knowledge of meters, calibrations, weights & measures, and regulations
- Proficienct in Microsoft excel for tracking and reporting
- Basic understanding of maintenance processes
- Fleet manager software (FMS), computerized maintenance management system (CMMS) experience. Fleetio experience preferred.
- Ability to implement change with assistance of Fleet Manager
