Job Description

The School of Medicine is seeking a Human Resources Specialist III / Recruitment Coordinator to join our Recruitment Team. This position reports to the Director of Recruitment and plays a vital role in supporting physician and staff recruitment across the School of Medicine. The ideal candidate is detail-oriented, collaborative, and passionate about creating a positive candidate experience.

Key Responsibilities
Recruitment Coordination
* Support end-to-end recruitment processes, building relationships with prospective hires.
* Plan and execute candidate visits, including campus tours, interviews, and meetings with faculty and leaders.
* Partner with recruiters and hiring managers to schedule interviews and ensure timely communication.
Candidate Travel & Itinerary Management
* Coordinate all aspects of candidate travel to ensure seamless, professional, and welcoming experiences.
* Collaborate with departments and stakeholders to arrange candidate meetings and engagements.
Data Management & Reporting
* Prepare and maintain tracking spreadsheets for candidate activity.
* Generate evaluations following candidate visits and share results with interviewers to support informed hiring decisions.
Sourcing & Recruitment Strategy
* Partner with recruiters to develop sourcing strategies for hard-to-fill positions.
* Track and maintain sourcing plans across specialties and subspecialties.
* Post physician opportunities to job boards and professional associations, tracking results and advising on renewals.
Event & Engagement Support
* Organize recruitment-related receptions, career fairs, and networking events.
* Purchase promotional items and coordinate recruitment-related materials.
Financial & Administrative Support
* Process invoices, reimbursements, and P-Card reconciliations.
* Assist with scheduling, training, documentation, presentations, and special projects for the recruitment team.
Collaboration & Communication
* Actively participate in weekly team and committee meetings.
* Serve as a professional and effective point of contact for candidates, departments, and internal stakeholders.
* Contribute to fostering a collaborative, organized, and candidate-focused recruitment environment.

8am-5pm M-F

Minimum Qualifications

A bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

Proven experience in recruitment coordination, preferably in an academic or healthcare setting.
* Familiarity with medical and academic terminology is a plus.
* Strong organizational and multitasking skills.
* Excellent communication and interpersonal skills.
* Proficient in using recruitment software and Microsoft Office Suite.

Anticipated Hiring Range

Salary Range: $25.50 to $27.75 hourly
Grade: GGS- 009
