Description
- Provides a broad variety of clerical duties for the CEO, including correspondence, document management, filing and general daily administrative tasks.
- Provides administrative support and coordination for EVPs and Executive Leadership Team (ELT), including managing an active calendar of appointments and events; composing and preparing correspondence; coordinating itineraries and meeting agendas; and compiling and editing presentations and documentation, often confidential in nature.
- Works closely and effectively with Executive Leadership Team (ELT) to keep leadership well informed of upcoming commitments and responsibilities, following up appropriately, as directed.
- Assist EVPs with the tracking of tasks and action items, ensuring timely completion and follow up.
- Monitors conference schedules, communicates deadlines and books registrations, airfare and lodging for the executive team as needed and assigned.
- Completes monthly expense reports for CEO, EVPs and ELT.
- Performs benevolence-related duties for ELT, including arranging flower deliveries and procuring gifts for holidays and significant life events.
- Collects and distributes daily mail and assists in the daily filing needs of CEO and C-Suite executive team.
- Manages and maintains subscriptions and memberships for CEO, EVPs and ELT.
- Maintains clear records of expenditures to assist in budget tracking and budget planning.
- Represents EVPs and ELT when coordinating meetings internally and externally. Provides a bridge for smooth communication to maintain credibility, trust and support of the executives.
- Intercepts calls from members or team members to ELT and helps route to appropriate leader for resolution.
- Collaborates with Information Services to verify that equipment and applications are operational and prepared for use.
- Supports manager in conducting research and evaluating efficiency tools to enhance workflow.
- Arranges ELT visits to branches and corresponds with branch management beforehand.
- Maintains regular cadence of updates to merger packets, bios, and photos of the CEO, EVPs and ELT.
- Supports Marketing team with requests related to the CEO, EVPs and ELT, including annual report and holiday cards.
- Provides back-up support to the Office Services Coordinator in board meeting preparation and front desk management.
- Provides support to the manager as directed, including assistance with board meeting preparation, materials, and special projects as required.
- Assists in the documentation of administrative team function procedures.
- Manages competing priorities, addresses tasks promptly, and ensures projects are completed within set deadlines.
- Maintains professional industry and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal and professional networks and participating in professional associations.
- Promotes and establishes strong, positive and productive working relationships within the organization through commitment to the company's purpose, mission and core values.
- Perform other administrative duties as required and assigned.

Education
Bachelors (preferred)
Experience
*Bachelor's degree or equivalent experience in business or related field. (required)
*Proficiency with MS Office, including Word, Excel and PowerPoint, Internet, and Email. (required)
*Advanced level of verbal and written communication skills. (required)
6 years: *6+ years of experience in supporting C-Level executives, preferably in financial services. (required)
