Human Resources Senior Assistant

Pay: The anticipated salary range for this position $20.50-$25/hr, depending on experience and qualifications. Compensation is determined based on a variety of factors, including relevant work experience, the skills required for the role, internal equity, market competitiveness, and budget considerations. Job Summary:

Under immediate supervision of the Director of Employee Benefit Programs and HRIS, the Human Resources Senior Assistant performs a wide variety of functions. The Human Resources Senior Assistant provides general administrative support, and in coordination with other stakeholders, is responsible for many employee centered processes, including information and document management, onboarding, and licensure tracking. The Human Resources Senior Assistant is an advocate in implementing our mission of "Advancing and protecting sexual and reproductive health care for all." They may perform other related duties as assigned.

Minimum Qualifications:



  • At least two years of experience working in Human Resources handling personnel records and
  • confidential materials
  • At least one year experience using an HR information system database
  • Experience with Microsoft Excel, Word, and PowerPoint
  • Experience with Adobe



Your Day-to-Day Responsibilities:

NEW HIRE ONBOARDING MANAGEMENT



  • In cooperation with the Recruiting team and other stakeholders, maintain the administrative function for
  • all new hires including interns, contractors, and temporary employees
  • Facilitate the criminal background check process
  • Request and verify licenses, certificates, and other credentials required for all positions, following up as
  • needed with management and the new hire
  • Process I-9 documents
  • Track and report on required immunizations
  • Maintain communication with new hires, acting as a resource and providing necessary new hire
  • information, PPNCS credentials, and documentation


EMPLOYEE FILE MANAGEMENT



  • Collaborate with the Compliance department and the HR Generalist with the maintenance of employee
  • personnel files
  • Ensure Planned Parenthood Federation (PPFA) accreditation is met by following the proper naming,
  • placement, and required signatures for all employee files and documents
  • 2
  • Conduct routine audits on employee files to confirm all required records and documents have been
  • received
  • Assist Human Resources department with ad hoc filing and file audits as needed


LICENSURE TRACKING & CONTINUOUS MONITORING



  • Communicate to new hires the required licenses and certificates needed for their role
  • Maintain records of issued and expired licenses utilizing HRIS system, UKG Pro
  • Ongoing tracking of employee licenses and certificates ensuring corrective actions are taken before the
  • expiration date
  • Collaborate with other departments to ensure all licensure and certification requirements are up to date
  • Assist VP of Human Resources with continuous monitoring for medical exclusions and debarments
