Essential Job Duties |
This position will serve as graduate admissions specialist and counselor in the Department of Computer Science (
CSC), a large and growing graduate program.
Duties include:
- Full responsibility for processing the 1800+ Masters and graduate certificate applications, and for onboarding the 400+ new Masters students each year. The Accelerated Bachelors Masters (ABM) cohort that this position manages each year has 60-90 students.
- Manages File Maker Pro (FMP) databases by editing and creating "scripts" which act to automate student list generation for mass communications, as well as identify sub-groups to receive very specific communications (e.g., those missing application material, those who have completed but not submitted an application, etc).
- Co-manages the department's File Maker Pro (FMP) database to help plan and record event details and manage student data and documents associated with the annual CSC PhD recruiting event. Co-manages the data and documents of PhD applicants within FMP as they progress from started application to faculty review.
- Applies advanced technology solutions to develop, implement, and evaluate new approaches to improve the department's admissions processes to achieve our goal of recruiting and admitting the best applicants.
- Respond to inquiries from prospective applicants seeking information about degree programs, application procedures, and admission requirements.
- Prepare application and student data for transfer from university IT systems into locally hosted databases.
- Monitor process stages of pending applications and issue reminder notices to applicants.
- Advanced knowledge of Thunderbird email to customize emails to specific recipient's circumstances.
- Schedule regular mass mailings to applicants (post-decision) and new incoming students according to the grad program's established communication plan.
- Monitor new student enrollment and provide registration assistance and intervention.
- Use the Student Information System (SIS), GradWatch, the Graduate School Information System databases, and other information systems to perform research, collect data, and analyze information for benchmarking, program improvement, and use in composing reports and presentations.
- Interact with prospective graduate students, external (non-NCSU) officials and CSC graduate faculty. Inform and advise prospective graduate students on admission requirements and processes. Performs a critical role in recruiting top talent for the Graduate program.
- Maintains accurate, reliable records for the Graduate School and departmental database.
- Provides statistical reporting related to admissions and enrollment as needed by the DGP and the department. Reports enrollment data to the DGP and Department during enrollment. seasons. Supplies student demographic data periodically to the DGP and department head.

Other Responsibilities |
- Assist in planning departmental activities associated with graduation ceremonies and attend graduation ceremonies.
- Plan and oversee department visits for invited PhD students (with other office staff) such as Doctoral Recruiting Day, Open House and other departmental events.
- Train additional personnel to help during the peak application period.

Qualifications
Minimum Experience/Education |
Bachelor's degree; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.

Other Required Qualifications |
The successful applicant will have professional administrative experience and excellent people skills;proficiency in MS Office and high level of competence manipulating spreadsheets and using MS Excel to manage text and csv formatted data files; experience with client-based and webapp emailing; demonstrated ability to master knowledge of Student Information Systems (
SIS) and PeopleSoft software; initiative and the ability to work independently; and demonstrated ability to multitask, set priorities, and apply effective time management techniques. |
Preferred Qualifications |
Prefer knowledge of
SIS systems, experience working within a university environment, and general familiarity with post-secondary education admissions. General experience using distributed data systems, including search creation, record retrieval, and data entry and export. Specific familiarity with FileMaker software applications is desirable. |
