The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting directly to the Director of Medical Lung Transplant, Program Manager, and Divisional Administrator, the Administrative Assistant is responsible for coordinating all administrative support functions for faculty in the Medical Lung Transplant Program within the Division of Pulmonary, Allergy & Critical Care Medicine, Department of Medicine.

Responsibilities



  • Serve as EPIC Superuser: create physician templates, modify faculty schedules, and troubleshoot EPIC-related concerns
  • Provide administrative support and manage calendars/meetings for three physicians and coordinators using iCloud and Outlook
  • Screen and direct incoming phone calls professionally and efficiently
  • Coordinate logistics for events, including venue and catering arrangements
  • Manage supply orders and coordinate repairs as needed
  • Prepare and provide patients with medical clearance letters, jury duty documentation, and return-to-work letters
  • Review insurance information and obtain necessary pre-certifications for procedures
  • Maintain office operations by monitoring and ordering supplies
  • Collaborate with the Program Manager on various office-related tasks
  • Draft and proofread correspondence and communications
  • Coordinate surgical procedures and related documentation
  • Scan patient records into EPIC and ensure timely documentation
  • Send provider notes daily or weekly as needed
  • Schedule consultation appointments and manage patient records requests
  • Request and mail CDs to sites or patients; upload incoming CDs for provider review
  • Triage incoming faxes and manage mail distribution
  • Coordinate clinical schedules for providers
  • Prepare reimbursement reports and track submissions
  • Handle correspondence from donors and transplant recipients
  • Maintain and update departmental directories
  • Perform additional related duties as assigned


Minimum Qualifications



  • Bachelor's degree or equivalent education, training, and experience
  • Ability to manage multiple tasks independently
  • Excellent organizational and time management skills
  • Strong interpersonal and communication abilities


Preferred Qualifications



  • Minimum of two years of related experience
  • Prior experience supporting faculty in an academic medical center


Other Requirements



  • Successful completion of applicable compliance and systems training requirements
