Summary of Position

The Project Coordinator, Performance (PCP) provides support to the Director, Project Performance and Compliance, the Senior Project Manager, Performance and the Project Manager(s), Performance.

Duties and Responsibilities

Assists in all phases of a project, from intake, vetting, planning, execution, through the end of the project:

  • Regional Responsibilities:
  • The Project Coordinator, Performance is assigned to three JobsOhio Network Partners (JON). This is entirely an external client-facing responsibility and requires about 80% of the PCP's time. In coordination and with oversight from the Director, Project Performance and the Senior Project Manager, Performance, the PCP is responsible for preparing all post-execution activities for review by the Director, Project Performance and/or the Senior Project Manager, Performance including but not limited to:
  • Encumbrances
  • Coordinate and conduct onboarding calls with company executives, project team, and PPT.
  • Timely Processing of Reimbursement for all Program types and Initiatives
  • This includes working directly with company executives to ensure appropriate reimbursement documentation has been received.
  • Assisting with the login and password information for client companies to submit the Annual Report
  • Update Salesforce after decisions have been made on Project Change Requests.
  • Unencumbering funds after the final disbursement or at the Metric Evaluation Date (MEvD).
  • Close out the Project when the Agreement has expired and funds have not been disbursed at the MEvD.

Support PPT by executing on the following:

  • Maintain client contact lists in Salesforce
  • Proactively perform outreach to clients to set expectations on annual report requirements
  • Address questions from clients and provide support to them as needed
  • Maintain the PPT Mailbox
  • Setting up and maintaining the recurring calendar invite and attendee list for all standing meetings
  • Responsible for managing and distributing the agenda to ensure attendees have this prior to the Remedial Action and PPRT meetings
  • Responsible for taking and maintaining notes for all standing meetings as well as documenting important discussions
  • Update Salesforce with meeting notes to ensure discussions, decisions and pertinent information are documented for historical reference
  • Responsible for assigning, tracking and ensuring outstanding tasks or outcomes of the meeting are properly delegated to ensure completion in a timely manner
  • Provide meeting results to relevant stakeholders
  • Draft and maintain working documents for the PPT as new processes and procedures are developed. Make recommendations for improvement where appropriate.
  • Participate in onsite company visits and help to resolve company performance issues
  • Process WARN notices and notify stakeholders

Perform special projects and other duties as assigned:

  • Project Coordinator, Performance must be well versed in JobsOhio program guidelines and philosophies.
  • Attend meetings including but not limited to:
  • JobsOhio and Network Project Managers training meetings
  • JobsOhio and Network weekly calls


Experience Requirements

  • 1-3 years of experience in related work
  • Demonstrate strong attention to detail
  • Exhibit and maintain a high level of professionalism
  • Demonstrate exceptional customer service skills, particularly during challenging conversations and situations
  • Strong communications skills (both verbal and written)
  • Ability to pivot comfortably as daily priorities shift
  • Strong mathematical skills
  • Quickly learn and utilize project software (e.g. Salesforce and Box.com)
  • Experience using Microsoft Office products such as Word, Excel, etc.

Education Requirements

  • Preferred Bachelor's Degree in economic development, finance, business, project/portfolio management, public administration, business or related degree with course work in ethics, risk management or organizational management
