POSITION SCOPE AND ORGANIZATIONAL IMPACT

Moss's Apprenticeship Administrative Assistant provides comprehensive support to the Apprenticeship Director and the Moss: Solar (Utility Scale) Apprenticeship Program. This is a fast-paced environment requiring organization, initiative, and effective communication. The position involves working with management, superintendents, and apprentices to assist with the day-to-day operations of the apprenticeship program.

This requires strong interpersonal skills. The Apprenticeship Administrative Assistant performs administrative and clerical tasks and proactively assists in apprenticeship program processes. The position is part of a construction environment, and the Administrative Assistant is expected to become familiar with all aspects of how Moss does business.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • Support the Apprenticeship Director with scheduling meetings, travel, invoices, and expense reports

  • Assist with onboarding for new team members in collaboration with HR and internal departments, ensuring smooth transitions, proper documentation, and access to internal systems and resources

  • Receive and prepare apprentice applications for review by the Apprenticeship Team

  • Maintain and upload apprentice files in compliance with state and federal regulations

  • Make updates in RAPIDS for apprentices (e.g., suspensions, cancellations, completions, or editing end dates)

  • Track RTI hours and grades

  • Submit and track RTI hours on TCP

  • Organize and execute logistics for internal team meetings, trainings, and events-including scheduling, materials prep, note-taking, and follow-ups

  • Act as liaison between the Apprenticeship Team and other departments (HR, Payroll, IT, Facilities) to streamline operations and support team needs

  • Assist with apprentice-facing communication and support around administrative processes, events, and key program milestones

  • Contribute to the development and maintenance of standard operating procedures, internal resources, and team templates

  • Perform other duties as assigned

EDUCATION AND WORK EXPERIENCE

  • Basic knowledge of apprenticeship programs

  • Detail-oriented: ability to organize, prioritize, multi-task, and act independently

  • Proficient with Microsoft Office Suite

  • Demonstrated problem-solving skills with a focus on quality

  • Professional demeanor with strong written and verbal communication skills

  • Strong teamwork skills and ability to work within a collaborative environment

  • Ability to take initiative without waiting for direction

  • Willingness and desire to learn
