Summary of Responsibilities The Project Manager - Capital Projects is responsible for the coordination and workflow management of key capital projects. Manages the activities of the expeditors and documentation specialist through coordination with sales team members. Collaborates closely with the Inside Sales Account Manager to oversee critical key capital projects and ensure they meet customers' timelines. Responsibilities include kicking off projects, creating schedules, and tracking progress throughout the entire project as well as managing documentation. The ideal candidate will demonstrate strong teamwork skills to maintain project alignment. They will also coordinate with various departments to ensure seamless execution of all project components.
Key Responsibilities
- Assists in the coordination and workflow management of key capital projects.
- Coordinate project kickoff meetings, prepare agendas, and collaborate with internal and external stakeholders.
- Participate in project meetings and follow-up on action items.
- Enter orders and create order acknowledgement to send to customer.
- Ensure purchase orders and any revisions are entered.
- Track all phases of the project from requirements.
- Assist the Inside Sales Manager with verifying that required materials will arrive when required by coordinating with expediting team.
- Assist in managing changes to the project scope and project schedule.
- Ensure invoices are processed and orders are executed to completion.
- Gather and review project documentation for completeness prior to sending to customer and documentation team.
- Assist in the development of processes, procedures, and workflows to improve performance of the team.
- Create weekly or monthly project reports for customers.
- Identify potential risks and develop strategies to mitigate them.
- Strong organizational and planning skills and ability to multitask and set priorities for self and others based on business needs.
- Provide expertise and industry experience to day-to-day problem solving and resolving issues.
- Maintains harmony among workers and resolves grievances.
Qualifications
- Associate degree with 5+ years of direct project coordination experience required, Bachelor's degree in technical field of study.
- Preferred, 3-5 years in a supervisory role.
- Provide direct supervisory leadership for the order execution team.
- Lead and coordinator the hiring process, workload evaluation, performance evaluation, and training.
- Ability to work under pressure and meet critical deadlines.
- Proficiency with Microsoft office and collaboration tools (Word, Excel, PowerPoint, Outlook, Teams, Groups (SharePoint), OneDrive, OneNote).
- Experience with CSD INFOR ERP platform.
- Ability to effectively present information and respond to questions from customers and internal stakeholders.
- Knowledge of commercial related issues such as pricing, terms, and conditions.
- Solid organizational skills, including attention to detail and multitasking is required.
- Creative thinking/problem solving skills necessary.
- Ability to work in a fast-paced environment.
- Smartsheet knowledge is a plus.
