This is a fixed term position that ends three years from the employee's start date.

Flexible work arrangements are available for this position, including the ability to work remotely. We would prefer a candidate located in the greater Austin area to be on campus for critical project meetings and client engagement opportunities.

This position provides life/work balance with typically a 40-hour work week and travel limited to training (e.g., conferences/courses).

Purpose

The Project Manager supports the planning and delivery of Enterprise Technology initiatives. Working closely with cross-functional teams, this role coordinates project activities, monitors progress, and supports documentation and communication for technology and process improvement projects.

The Project Manager ensures that Enterprise Technology projects run efficiently by providing structure, maintaining visibility into schedules and dependencies, and supporting quality execution through consistent processes and stakeholder engagement.

Responsibilities Program Management:
  • Support project initiation, planning, execution, and closeout activities.
  • Develop and maintain project artifacts such as timelines, action item logs, meeting summaries, risk registers, and communication plans.
  • Track milestones, deliverables, and dependencies to ensure progress toward objectives.
  • Maintain project tracking tools and support project reporting requirements.
  • Ensure project plans and outcomes align with Enterprise Technology priorities and support campus-wide strategic goals.
Communication and Stakeholder Engagement
  • Facilitate coordination across project workstreams, ensuring clear and timely communication among technical and business teams.
  • Schedule and document key meetings, including kickoffs, status updates, and retrospectives.
  • Prepare clear and concise project summaries, reports, and presentations for project teams and leadership audiences.
  • Serve as a liaison between project teams, vendors, and university stakeholders.
  • Coordinate with academic, administrative, and technology partners to support adoption, stakeholder engagement, and successful delivery of project deliverables.
Process & Quality Support:
  • Support the consistent use of Enterprise Technology project management standards and templates.
  • Assist with project framework documentation, governance processes, and financial tracking as needed.
  • Identify opportunities to streamline workflows, strengthen collaboration, and improve the efficiency and maturity of project delivery practices.
Operational & Administrative Support:
  • Assist in the preparation of business cases, process and procurement documentation, and compliance materials.
  • Support portfolio management activities such as intake tracking, resource coordination, and reporting.
  • Support change management and communication activities to ensure project outcomes enhance user experience.
  • Prepare executive-level reporting and status summaries to support project visibility, decision-making, and risk mitigation.

Other related functions as assigned.

Required Qualifications
  • Bachelor's degree and at least five years of experience in project management.
  • Strong organizational and time management skills with proven ability to track multiple projects and deadlines.
  • Excellent written and verbal communication skills with attention to clarity and professionalism.
  • Demonstrated proficiency with Microsoft Office Suite and collaboration tools such as Teams, and SharePoint.
  • Ability to work effectively across technical and non-technical teams in a fast-paced, changing environment.
  • Familiarity with project management methodologies (Waterfall, Agile, or hybrid approaches).

Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Fluent in Spanish.
  • Project management certification (e.g. CAPM, PRINCE2 Foundation, or equivalent)
  • Experience with ServiceNow
  • Experience supporting technology, IT governance, or process improvement projects in a large enterprise or higher education setting.
Salary Range

$85,000 + depending on qualifications

Monday - Friday 8am-5pm; Occasional nights or weekends may be required
