Brief Summary of Work for this Position
Key areas of responsibility include:

Policy, Compliance, & Documentation:

  • Serve as the primary custodian for all academic policies and procedures, responsible for development, revision, updating, and distribution of WCE policy manuals and handbooks.
  • Ensure strict and comprehensive compliance with all relevant governing policies, including NC State Laws, NC State Board of Education Policies, and UNC System reporting requirements.


Program & Project Management:

  • Manage and maintain the Academic Affairs Operations Calendar to ensure the timely and compliant completion of all recurring projects.
  • Coordinate the full scope of curriculum processes (changes and approvals), academic course scheduling, and provide support for the OAP Launch Initiative.
  • Oversee and coordinate academic program assessment and accreditation activities.

Faculty & Student Support:

  • Manage processes for student retention and progression, including college admissions and the administration of the student scholarships.
  • Maintain comprehensive academic affairs records, including key student data files, and generate all necessary reports for WCE leadership.
  • Track the Faculty Excellence Awards Application (Processes and Timeline)
  • Search for information and generate reports from student and program data.
  • Help with WCE Research and Funding Initiatives.

Administrative Support:

  • Provide essential support for key academic meetings and events.
  • Work with other Content Managers to create and maintain the GPFR and WCE SharePoint sites.
  • Develop the information distribution channels for GPFR Team.

Minimum Education and Experience Requirements

  • Graduation from high school; or an equivalent combination of training and experience.


  • Must have demonstrated ability to:

    • Work with generally accepted office software programs.
    • Maintain confidentiality.
    • Strong customer service and communication skills are essential.
    • Apply policies and procedures to the work performed in the department.


Note: Some assignments may require knowledge of UNCW policies and procedures.
Preferred Education, Knowledge, Skills & Experience
This role requires a candidate who can function as an independent operational manager and a clear communicator of complex policy.

  • Fundamental understanding of university and organizational structures is necessary to collaborate effectively with Deans, Chairs, and faculty.
  • Proven experience in managing recurring projects and the ability to accurately read, interpret, and apply state, system, or institutional compliance requirements (since no one likes a policy violation).
  • High motivation and ability to work independently, directing a wide range of tasks to meet specific deadlines and making sound decisions quickly.
  • Excellent oral and written communication skills are essential to clearly articulate complex policies, generate precise reports, and coordinate across the college.
  • A willingness and ability to rapidly learn and use various office technologies and university systems.

Please note, this is a temporary position. The length of the assignment will be based on department need with the possibility of continuation. Temporary assignments cannot exceed 11 consecutive months without a full 31-day break from employment. Employees in temporary positions are not considered permanent state employees and do not earn leave. Temporary employees are subject to the Affordable Care Act guidelines.
