SUMMARY:
The Operations and Administration Coordinator will report to the Operations and Administration Manager and will work alongside all other divisions in the Revolution Academy Department in relation to camp participation, preparation, guidelines, and state regulations in conjunction with town Board of Health departments.
The Coordinator will ensure all camp locations, camp sites, clinic programs & other summer programs meet all requirements and that participants meet all medical guidelines.
This is a strategic and important position that will allow the department to achieve all it's goals and objectives in the camps division, the Coordinator will liaise and work closely with the Regional Manager of the camp's division with updates on progress with all towns hosting a camp.
The Coordinator will additionally liaise and work alongside the Director of Revolution Academy Partnerships during the peak seasons for training hours with partner programs. Roles and responsibilities will differ from the camps division but will be equally as important strategically. The Coordinator will continue to report to the Operations & Administration Manager.
DUTIES AND RESPONSIBILITIES
- Assist the division manager with updating current plans and policies for all camps governed by the Board of Health.
- Create new plans & policy binders for any new locations governed by the Boad of Health.
- Serve as the liaison with the Board of Health to include corresponding with each town about camp dates, camp permits, fees, and inspection dates.
- Review each camp participant paperwork binder - Review participant paperwork binder the week before each camp to confirm all participants are included.
- Assist in reviewing Board of Health participant paperwork.
- Upload participant information to ePACT (new department platform). Transfer all participants from the Configio registration system onto ePACT platform.
- Utilize the ePACT system to send invite email to all parents. This involves sending ePACT information email to all families & follow up emails through ePACT platform for a final reminder.
- Draft and send Board of Health camp parent information email. This would consist of sending a final email with all details to all families the week before a Board of Health camp commences.
- Participate in on-site camp inspections with each Board of Health Inspector, ensuring all set-ups are accurate. The Manager will also assist in times of multiple inspections occurring concurrently.
- Weekly infirmary preparation during the camp months to meet state standards and guidelines.
- Support Health Care Supervisor as and when necessary.
- Revolution Academy Partnerships division - Assisting, supporting, and helping the Director of Revolution Academy Partnerships outside the camp seasons.
- Support with administrative duties, part-time coaches' communication and compiling various reports pertaining to the partnerships division.
- Communication can be in the form of conducting phone calls or emails and reporting to the division Director on progress.
- Special projects and assignments as business dictates.
- Responsible for the maintenance, creation and control of all personally identifiable information or any other information protected by any Confidentiality or Privacy Standards or Company Policies that you have access or knowledge of, including but not limited to any state or federal regulations including HIPAA.

- This position has no supervisory responsibilities
SKILLS AND QUALIFICATIONS
- Business or Management Degree and or Sports Management qualification equivalent
- 0-2 years of relevant experience
- Excellent organizational skills and attention to detail
- Effective communication skills and ability to multi-task
- Experience in the soccer industry preferred but not necessary.
- Ability to work in a fast-paced office environment and industry.
