Payroll Coordinator

Position Identification:
Non-Exempt
Reports to: Accounting & Office Manager, Regional H.R. Manager & Operating Unit President

This is an on-site position located in Indianapolis, IN. Remote work is not available for this role.

Position Summary:
The Payroll Coordinator will be primarily responsible for managing all aspects of payroll processing to ensure accurate and timely payment for employees. Key duties include handling full-cycle payroll, verifying timekeeping data, managing deductions and withholdings, and ensuring compliance with federal, state, and local regulations. This role will also oversee payroll reporting, assist with audits, and maintain confidentiality of sensitive information. Secondary responsibilities include supporting HR functions such as onboarding and maintaining employee records. Strong attention to detail, organizational skills, and the ability to meet strict deadlines in a fast-paced environment are essential.

Job Functions:
  • Administer union payroll, including reporting, payments, and tax compliance
  • Prepare payroll funding reports and resolve discrepancies
  • Manage new hire paperwork, onboarding, and orientation
  • Perform employment verifications, background checks, and maintain employee files
  • Maintain AAP logs and follow OFCCP guidelines
  • Manage employee additions, deletions, and changes in the ERP system
  • Cross training with accounting responsibilities
  • Perform other duties as assigned


Knowledge, Skills & Experience (Essential):
  • 3+ years of payroll experience with strong knowledge of state and federal regulations
  • General knowledge of HR and Accounting principles
  • Ability to multitask in a fast-paced environment and manage priorities effectively
  • Proven experience collaborating across all organizational levels
  • Strong verbal and written communication skills
  • Ability to handle confidential information with discretion
  • Proficiency in Microsoft Excel to include strong analytical skills


Knowledge, Skills & Experience (Desirable):
  • Bachelor's degree or equivalent
  • Bilingual
