Job Title: Commercial Real Estate Administrator

Location: Houston, TX

Hybrid: In office Monday, Tuesday, Thursday WFH: Wednesday and Friday

Employment Type: Contract (1 year duration) with potential to extend


Position Summary

We are seeking a highly organized and detail-oriented Commercial Real Estate Administrator to support the operational and financial management of our North American real estate portfolio. This role is critical in implementing and maintaining lease administration systems, managing financial processes, and coordinating with internal and external stakeholders. The ideal candidate will have experience with ERP systems, lease accounting, and commercial real estate operations.

Key Responsibilities

System & Data Management

  • Maintain rental obligation financial information in Tango and ensure data accuracy.
  • Assist with transitioning U.S. utilities lease data and payments into Oracle Cloud.
  • Monitor and communicate lease expiries, rights, options, and other key dates in the lease lifecycle.
  • Serve as a subject matter expert for Tango lease administration software and support its implementation and ongoing use.
  • Maintain records for real estate transactions.


Financial Administration

  • Process rent payments and ad hoc invoices accurately and on schedule.
  • Prepare and track brokerage commission invoices and rebate payments.
  • Manage subtenant rental notices, billing, and payment tracking.
  • Resolve payment issues across Oracle Cloud, Oracle R12, and SAP ERP systems.
  • Support and track operating expense (CAM) reconciliations and lease audits in collaboration with external auditors.
  • Oversee annual additional rent reconciliation requirements on both tenant and landlord sides.
  • Support payment cycle requirements including planning, initiation, and post-payment verification.
  • Oversee AR cycles for rent collection and maintain strong relationships with payables teams.


Compliance & Documentation

  • Support Lease Accounting submissions under ASC 842
  • Coordinate due diligence documentation for property sales, acquisitions, leases, and subleases.
  • Request and deliver Insurance evidence to landlords and track in Tango
  • Facilitate supplier setup for new landlords in ERP systems.
  • Track outstanding deliverables from brokers and ensure timely completion.
  • Support document execution and ensure compliance with corporate policies.
  • Assist with lease audit plans and operationalize lease requirements to ensure compliance.



Risk & Performance Management

  • Proactively manage critical points in the lease lifecycle to avoid compliance issues.
  • Detect early signs of landlord performance failure and initiate resolution measures.


Qualifications

  • Minimum 3 years of experience in commercial real estate administration or a related field.
  • Proficiency in ERP systems (Oracle Cloud, Oracle R12, SAP).
  • Experience with lease administration platforms (e.g., Tango, CoStar, Yardi) is an asset.
  • Strong understanding of lease accounting principles and real estate financial processes.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.


Preferred Skills

  • Familiarity with real estate legal documents and lease structures.
  • Intermediate to advanced Excel skills.
  • Experience working with brokers, landlords, subtenants.
