Inova Fairfax Medical Campus is looking for a dedicated Administrative Coordinator Sr. to join our Department of Medicine. This role will be Full-Time, Monday-Friday, 8:00 a.m. - 4:30 p.m.

Administrative Coordinator Sr. Job Responsibilities:

The Administrative Coordinator Senior coordinates coverage and work flows, performs a wide variety of administrative activities to support department directors and managers and ensures smooth operations within the department. Fulfills contractual obligations to client organizations, including deliverables and accounting/billing. Provides secretarial support to AVP and/or Directors to facilitate completion of department work and provides support to executive directors, account managers and other department personnel. Serves as office manager to ensure the efficient and effective functioning of department operations as needed.

  • Coordinates schedules of staff. Coordinates clerical/administrative projects to ensure timely completion.
  • Utilizes our application in everyday system staffing matters as well as helping team
  • members and leaders with related questions and issues
  • Schedules and coordinates arrangements for meetings and special events including facilities, catering and logistics
  • Collects, tracks and maintains information specific to the department - often of a highly confidential nature.
  • Coordinates the timely receipt, processing, production and distribution of regular reports to appropriate department and organizational staff.
  • Revises and drafts processes and procedures as needed to support efficient and effective department operations.
  • Tracks and monitors department budget, researches variances, creates and maintains spreadsheets and creates statistical reports. Prepares and distributes monthly budget reports.
  • Processes requisitions, invoices, expense reports, prepares check requests, determines appropriate accounting codes and ensures data entry of appropriate information.
  • May perform additional duties as assigned.

Minimum Qualifications:

  • Education: High School diploma or equivalent
  • Experience: 5 years of relevant office or healthcare experience

Preferred Qualification:

  • Healthcare administrative experience
