Vaco is seeking an experienced, detail-orientedProject Analystfor a well-known organization. This is a fully remote role, with a strong focus on grant project administration. Position Overview

The Project Analyst provides analytical, coordination, and reporting support for federally funded disaster recovery and hazard mitigation projects administered by the State of Florida. This position supports the planning, tracking, and monitoring of FEMA Hazard Mitigation projects to ensure compliance with federal and state requirements, timely execution, and accurate reporting.

This is a term-limited position contingent upon federal funding availability.

Key Responsibilities
  • Support the management and monitoring of Federal Emergency Management Agency (FEMA) Hazard Mitigation programs, including HMGP, BRIC, and related mitigation initiatives.

  • Track project milestones, deliverables, budgets, and schedules to ensure alignment with approved grant agreements.

  • Review and analyze project documentation to ensure compliance with FEMA guidance, 2 CFR Part 200 (Uniform Guidance), and State of Florida policies.

  • Assist with development, maintenance, and monitoring of project budgets and expenditure forecasts.

  • Prepare project status reports, dashboards, and summaries for internal leadership and federal partners.

  • Coordinate with program managers, local governments, consultants, and subrecipients to collect and validate project data and documentation.

  • Support reimbursement requests by reviewing supporting documentation for accuracy, completeness, and eligibility.

  • Identify project risks, delays, or compliance concerns and escalate issues to program leadership.

  • Maintain organized, audit-ready project files and records in accordance with state and federal retention requirements.

  • Assist with project closeouts, monitoring reviews, and audits conducted by FEMA or state oversight entities.

  • Provide technical assistance to subrecipients regarding project tracking, documentation standards, and reporting requirements.

Knowledge, Skills, and Abilities
  • Knowledge of project management principles within a governmental or grant-funded environment.

  • Understanding of FEMA Hazard Mitigation programs and federal grant compliance requirements.

  • Ability to analyze project data, schedules, budgets, and performance metrics.

  • Strong written and verbal communication skills for preparing reports and coordinating with stakeholders.

  • Proficiency with spreadsheets, tracking tools, and project management or grant management systems.

  • Strong organizational skills and attention to detail in a high-compliance environment.

  • Ability to manage multiple projects and deadlines simultaneously.

Minimum Qualifications
  • Bachelor's degree in Public Administration, Business Administration, Emergency Management, Finance, or a related field.

  • Two (2) or more years of experience in project coordination, project analysis, grants management, or program support.

  • Experience working with federally funded programs or government projects.

Preferred Qualifications
  • Experience with FEMA Hazard Mitigation Grant Program (HMGP), BRIC, or disaster recovery initiatives.

  • Knowledge of State of Florida grant administration or emergency management processes.

  • Experience supporting audits, monitoring reviews, or compliance reporting.

  • Familiarity with project management methodologies or tools.

Working Conditions
  • Office or hybrid work environment, based on agency needs.

  • Position is grant-funded and limited to the duration of the FEMA award.

  • May require occasional extended hours to meet federal or state reporting deadlines.

Determining compensation for this role (and others) at Vaco by Highspring depends upon a wide array of factors including but not limited to:

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;
  • other business and organizational needs.

With that said, as required by local law, Vaco by Highspring believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
