POSITION PURPOSE AND OBJECTIVES
This role is responsible for developing, maintaining, and improving the Legal Department's internal processes, procedures, systems, and technology tools through collaboration with Legal leadership, crossdepartmental partners, and external industry groups such as CLOC. The role leads the creation, tracking, analysis, and reporting of key financial and nonfinancial metrics and provides paraprofessional legal support to the General Counsel and other counsel by preparing and reviewing correspondence, contracts, policies, insurance applications and claims materials, minutes, and other assigned documents.
The position also oversees records storage and retention for all legal documentation. In addition to these core responsibilities, the role includes administrative tasks such as expense report reconciliation and other routine departmental support activities.
MINIMUM QUALIFICATIONS
*
Minimum 5 years of bank operations, project management, or legal operations experience required.
*
Experience supporting attorneys or legal teams, preferred.
*
Demonstrated experience managing document workflows, scheduling, and legal correspondence, required.
*
Ability to work independently, prioritize competing demands, and follow through with minimal supervision.
*
Proficiency in Microsoft Word, Excel, PowerPoint, and internet-based tools.
*
Willingness to become a Kentucky Notary (KY residency not required).
*
Experience with SharePoint and AI tools, preferred.
ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES
Description - % of Time Spent
Legal Operations & Process Support - 40%
*
Develop, maintain, and improve Legal Department processes, workflows, templates, and best practices.
*
Track, analyze, and report on legal metrics, including outside counsel spend, matter budgets, and variance analysis; coordinate with Accounting as needed.
*
Manage outside council relationships and invoice/billing process.
*
Create, implement, and maintain dashboards, reports, and benchmarks to support forecasting and cost control.
*
Stay current on legal operations trends and recommend improvements to tools, systems, and processes.
Systems, Records & Knowledge Management - 25%
*
Serve as system owner for Legal SharePoint sites, including document management, project requests, forms, and knowledge repositories.
*
Manage legal records storage and document retention.
*
Support automation and cross-functional process improvements in collaboration with other departments.
Legal & Paraprofessional Support - 25%
*
Prepare, review, and manage legal correspondence, documents, reports, contracts, policies, and insurance-related materials.
*
Assist legal team with litigation support, regulatory matters, contracts, and tracking.
*
Support trademark portfolio management and annual corporate disclosures, as needed.
*
Assist with subpoenas, garnishments, levies, and other legal document functions, as needed.
Administrative & Executive Support - 10%
*
Manage calendars, meetings, and logistics for the Legal Department.
*
Provide organizational support for internal meetings, Board and Committee materials, and minutes, as assigned.
*
Coordinate outside counsel onboarding and invoice processing.
*
Support administration, renewal, and reporting of the Bank's insurance programs and claims.
*
Maintain a working knowledge of compliance requirements affecting your position and area of responsibilities and actively learn new regulations and assist in the implementation, if required.
*

Travel between Republic Banking facilities may be required including occasional out of town travel.
