Job Description

Summary:

The Sr. Business Support Specialist provides administrative and operational support to the Student Engagement and Leadership area within the Division of Student Affairs. This position plays a critical role in ensuring efficient business operations, supporting both frontline staff and behind-the-scenes processes. The specialist collaborates closely with professional staff and student employees to ensure timely processing of scholarships, contracts, supply orders, and general administrative needs. In addition to being the primary administrative support for assigned units, the individual will cross-train to support the broader team and will serve as a central point of contact for shared resource management, onboarding tasks, and space oversight.

Essential Functions:

Administrative and Operational Support

  • Provide direct administrative support to assigned areas and serve as cross-trained backup support to other teams.
  • Provide calendar and scheduling support to one or more area directors or managers.
  • Monitor shared resource email accounts and route inquiries to appropriate staff for follow-up and resolution.
  • Help prepare agendas, take notes, and support follow-up from staff meetings or planning sessions.
  • Carry out responsibilities with sound judgment and confidentiality, ensuring efficient daily operations and the secure handling of sensitive information.
  • Perform other administrative or operational duties as assigned to support divisional goals and student success.

Financial and Contract Management

  • Submit invoices and payment requests through university financial systems, ensuring timely and accurate processing.
  • Assist with contract submission, routing, and status tracking for events, speakers, vendors, and service providers.
  • Draft initial stipend contracts for student government officers and manage the routing and tracking of required signatures.
  • Assist with travel and reimbursement processing, including gathering documentation and submitting through university systems.
  • Work closely with the assigned Business Manager to support purchasing, reconciliation, financial tracking, and compliance.
  • Track departmental scholarships and coordinate with staff to ensure timely award processing and documentation.

Facilities and Resource Management

  • Assist with office supply inventories and place orders for materials, equipment, and promotional items as needed.
  • Support check-in/check-out processes for shared equipment, promotional materials, and tabling supplies.
  • Monitor shared student spaces and program offices for maintenance needs and assist with the submission of facilities service requests as needed.

Staff and Student Support

  • Coordinate onboarding logistics for new staff, including key and nametag requests, shared drive access, and workspace setup.
  • Serve as a point of contact for basic student and visitor questions, connecting individuals with the right staff or resources.

Event and Program Support

  • Support planning and logistics for department events and training sessions, including reserving spaces and ordering catering or supplies.
  • Help track student engagement data or participation records, as needed, in collaboration with program staff.
  • Update program or unit-specific webpages and assist with internal communications as requested.
Shift

Monday - Friday, 8 a.m. - 5 p.m.

This position may require evening and weekend hours supporting activities and programs within the department. Occasionally division and campus projects may require additional hours outside of your normal schedule.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.

Anticipated Hiring Range

Range: $18.87 - $23.00 per hour; paid on a biweekly basis
