Job Responsibilities



  • Support the oversight of ~200+ Administrative Assistants across Asset & Wealth Management Americas

    • Partner closely with AWM Leadership and Admin Manager to support performance management, development, and engagement across the AWM Americas Administrative Assistant population.
    • Work with Admin Manager to allocate and assign assistant coverage in coordination with Business Unit COOs.
    • Build relationships across various internal stakeholders including Business Unit Managers and Business Unit COOs, acting as a trusted partner advising on coverage models, headcount and contingent labor needs, and assistant talent decisions aligned to business priorities.
    • Drive project management related to event planning, including but not limited to townhalls, year-end, milestone achievements, etc.
    • Own onboarding and integration strategy for all new joiners (both full-time employees and contract workers), partnering with business stakeholders to deliver customized training programs.
    • Build and maintain training programs for administrative assistant population across the division to enhance knowledge of existing resources, new resources and divisional subject matter, including the development of best practice and procedure documents for relevant firm platforms.
    • Support the end-to-end recruiting efforts for Administrative Assistants across full-time and contract hiring pipelines, including sourcing strategy, interview coordination and offer approval processes.
    • Champion efforts to uplift talent capabilities, enhance engagement, and strengthen organizational health.
    • Manage staff augmentation and contingent worker budgets, including forecasting, tracking spend, approvals, and reporting; manage vendor/agency coordination.
    • Coordinate with contingent worker management to lead recruitment, feedback process, contract extension and conversion process
    • Organize regular catchups and touchpoints with assistant population across the division, provide support for ad-hoc queries.
    • Develop strategic communication plan with administrative assistant population to enhance connectivity.
    • Own various operational functions including time management approvals and reporting management systems.



Qualifications



  • Strong proactive team player able to work efficiently and effectively in handling multiple tasks
  • Excellent organizational and communications (written and verbal), skills
  • Innovative thought processes and proactive time management
  • Competitive spirit with the ability to lead, motivate and build relationships with internal stakeholders
  • Ability to handle sensitive, confidential information with the utmost discretion
  • Familiarity with RMS, Cyborg, Anaplan, Fieldglass and related internal systems is required
  • Advanced proficiency in platforms such as Smartsheet, Sharepoint, Microsoft Word, Excel and Power Point
  • Bachelor's degree
  • 3-5 years of relevant work experience



Salary Range

The expected base salary for this New York, New York, United States-based position is $100000-$160000. In addition, you may be eligible for a discretionary bonus if you are an active employee as of fiscal year-end.
