Job Title *Executive Administrative Assistant - Legal*
Role Overview We are seeking a highly skilled Executive Administrative Assistant to provide proactive, high-level support to multiple senior legal leaders. This role serves as a trusted partner and gatekeeper, exercising strong judgment, discretion, and foresight to manage priorities, anticipate needs, and resolve issues before they escalate. The ideal candidate thrives in a fast-paced environment, navigates complexity with confidence, and consistently delivers exceptional executive support. Key Responsibilities * Provide proactive, high-level administrative support to multiple senior legal executives, serving as a trusted advisor and primary point of coordination * Independently manage complex and frequently changing executive calendars, ensuring alignment across stakeholders, time zones, and business priorities * Anticipate scheduling conflicts, priority shifts, and potential issues; recommend and implement solutions with minimal direction * Coordinate and book domestic and international travel in accordance with company policies and executive preferences, proactively monitoring itineraries and adjusting plans in response to changes or disruptions * Prepare, reconcile, and submit accurate executive expense reports, ensuring completeness, compliance, and timely submission * Plan and execute logistics for Legal team offsites, leadership meetings, and large-scale group events, including venue selection, agendas, materials, travel coordination, and on-site support * Manage executive correspondence and information with professionalism, discretion, and sound judgment * Handle sensitive, confidential, and time-critical matters with the highest degree of integrity and confidentiality * Serve as a liaison between executives and internal/external stakeholders, ensuring clear communication and smooth operations Required Qualifications (Must Haves) * 5+ years of experience in executive support, operations, project coordination, or business administration * Demonstrated ability to support multiple executives simultaneously while managing competing priorities * Strong proficiency with Microsoft tools (Outlook, Word, Excel, PowerPoint, Teams) * Proven ability to work independently, make informed decisions, and drive outcomes without constant oversight Preferred Qualifications (Nice to Haves) * Experience in a large corporate or global organization * Prior experience supporting more than one executive * Experience supporting Legal, Finance, or other highly regulated functions Core Skills * Executive & administrative support * Calendar and travel management * Expense reporting and compliance * Microsoft Office expertise * Legal and/or finance environment exposure Soft Skills & Competencies * Exceptional anticipation skills with the ability to think several steps ahead * Highly organized, detail-oriented, and self-directed * Clear, professional verbal and written communication * Strong judgment and confidence navigating ambiguity * Ability to remain calm, adaptable, and solution-oriented under pressure Experience Level *Intermediate* *Job Type & Location*This is a Contract to Hire position based out of Chicago, IL. *Pay and Benefits*The pay range for this position is $27.00 - $34.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
