Job Summary:

In a career as an Administrative Assistant - Medical Support Services, you join us in providing life-changing care to patients from across the region. In this role, you will provide administrative assistance and clerical activities for the Support Services Team and the Chief Nurse Executive (CNE). Provide skilled, clerical functions of a confidential nature.

Schedule: Full-Time; 7:30 AM-4:00 PM Monday-Friday

Location: Downtown Clinic MAJOR RESPONSIBILITIES & DUTIES:
  • Provides clerical assistance to CNE and the Support Services team. Assistance may include meeting and
  • room coordination, recording and preparing minutes, mail management, CNE schedule coordination and monitoring, telephone and reception duties.
  • Monitors and orders office and paper product supplies.
  • Processes Support Services invoices and credit card purchases (Support Services and CNE).
  • Assists with employee professional recognition planning and distribution.
  • Assists with formatting and publishing policies in the policy management system as directed by the Director of Quality and Support Services or designee.
  • Assists with scheduling, invoices, and general oversight of the BTNRH basic life support program.
  • Performs general office duties including assembling and proofreading documents, maintaining Medical
  • Executive Committee binders, computerized filing, and Service Recovery program gift card procurement.
  • Handles travel arrangements for multiple areas (Support Services, ancillary teams, East medical office providers, and other clinical areas) including hotel and airline reservations, and conference registrations.
  • Prepares travel expense reports.
  • Oversight of Support Services students including interviewing, training, and monitoring of work.

  • Processes dues and memberships for the East Medical Office Building providers, and the Support Services.

  • Assists the Employee Health Nurses with employee appointment scheduling, annual campaigns, Employee

  • Health release of records (according to policy) and Employee Health record filing in the electronic Employee Health Database

  • Assists the team in special projects as assigned.

  • Receives and screens visitors, Employee Health check-ins, answers multi-line telephones, communicates messages.

REQUIRED QUALIFICATIONS:
  • High school diploma or equivalent required.
  • Minimum of 2 years of clerical experience in an office environment required.
  • Ability to utilize a variety of office equipment and computer software programs as needed to perform the duties and responsibilities of the job required.
