We are seeking an enthusiastic and highly organized Administrative Business Partner to join a fast-paced environment. In this role, you will be a critical enabler, ensuring seamless operations and directly contributing to the efficiency and productivity of the team and/or site you support. Your meticulous attention to detail and proactive approach will directly impact the ability of leadership and teams to focus on strategic initiatives, making you an indispensable part of their success story.

**What You'll Do:**

* Proactively manage complex calendars, including scheduling, maintaining, and updating events for executives, teams, and/or sites, with careful consideration for time zone differences. This involves building in adequate preparation time, resolving conflicts, and optimizing schedules for both short-term and long-term planning.

* Coordinate all aspects of business travel for executives and teams, aligning with preferences and handling pre-travel preparations such as visa and passport support, and cultural considerations. You may also assist with travel agendas and post-travel documentation.

* Prepare for critical meetings by ensuring the correct room, equipment, and attendee lists are confirmed. You will gather, compile, and create essential meeting materials, such as presentations and agendas, and assist with note-taking.

* Assess and advocate for office space needs, managing accommodation requests and collaborating with internal facilities and real estate teams to plan and construct space allocations. This may include facilitating office moves.

* Execute comprehensive expense and budget management activities, including completing expense reports, and processing invoices and purchase orders.

* Plan and organize a variety of site and location activities focused on culture, community engagement, and internal/external communications. You will learn from leadership to support strategic programs and initiatives around team dynamics and site effectiveness.

* Organize and manage internal and external programs and events, such as team off-sites, site-wide gatherings, and business events. This includes managing budgets, logistics (venues, equipment, entertainment), and collaborating with internal partners and external vendors, ensuring compliance with policies.

* Contribute to smaller projects and initiatives from initiation through delivery, applying best judgment and discretion while proactively seeking guidance when needed.

* Capability to support team management functions through administrative tasks.

* Solid core administrative skills, ensuring efficient and organized operations.

* Experience in event management, including planning and logistics.

* Proficiency in travel management, coordinating complex itineraries.

* Excellent written communication skills, with attention to detail and clarity.

* Competence in expense management, including reports and processing.

* Understanding of resource planning and headcount management support.

* Exceptional ability to manage confidential information with the highest standards of discretion.
